The Office Administrator is responsible for facilitating the daily, weekly, monthly, and annual operations of the firm by performing or overseeing a variety of administrative and operational duties. If you have a strong attention to detail, a good sense of humor, excellent judgment, and possess the desire to be part of a team, apply today.


Key Responsibilities:


Human Resources

  • Assist with recruitment processes, including scheduling interviews and onboarding new employees.
  • Process payroll, support administration of benefits and other general HR tasks

Finance

  • Process and track invoices, expenses, and reimbursements.
  • Monitor Accounts Receivable and follow up with clients as needed.
  • Generate financial reports, ensuring accuracy across systems.
  • Liaise with CPA/ Bookkeeper

Operations

  • Oversee daily office operations, including managing office supplies, digital organization, and equipment.
  • Coordinate and schedule meetings, appointments, and office events.

Vendor Management

  • Liaise with vendors and service providers to ensure timely delivery of goods and services.
  • Negotiate contracts and manage vendor relationships.
  • Monitor and evaluate vendor performance.


Essential functions:

1.      Facilitates the daily, weekly, monthly, and annual operations of the office.

2.      Communicates with all team members, vendors, clients, prospective clients by phone, message, video, and in-person.

3.      Ability to handle multiple projects, prioritize, and keep track of deadlines.

4.      Work independently and as part of a team.

5.      Ability to solve practical problems and deal with a variety of concrete variables using sound judgment in situations where only limited standardization exists.


Competencies:

Proficiency in Microsoft Word, Excel, Outlook, QuickBooks Online, and RingCentral. Ability to learn other software applications quickly. Knowledge of social media, and internet search functions. Must be resourceful and persistent. Ability to effectively present information verbally and in writing. Ability to use diplomacy and discretion in relaying information. Can organize, prioritize, plan and multi-task work activities, with the ability to effectively meet deadlines in a high-pressure environment.


To perform the job successfully, an individual should demonstrate competency the following areas: quality, customer service, oral communication, initiative, judgment, problem solving, safety and security, attendance/punctuality, ethics, dependability, professionalism, motivation, teamwork, and planning/organizing.

Office experience is required.


Schedule: Part-time (approx. 20 hours per week) during regular business hours, set as mutually agreed. Family-friendly hours
