OVERVIEW
Occasions Catering, Denver’s longest-serving catering company and the premier provider of fresh, innovative cuisine since 1970, is building a team of Event Managers to enhance the turnkey service we provide for our valued clients. You will bring solid knowledge of Occasions event operations and a commitment to superior customer service, along with your desire to learn more about and contribute to the sales and planning processes. You work well independently, are energized by wearing multiple hats in diverse work environments and gain deep gratification from nailing every detail. You will report to the Director of Sales and Marketing and be instrumental in the success of our events.
PRIMARY FUNCTIONS
Event Planning
Starting approximately 90 days before each event assigned to you, you will be responsible for completing all of the event planning details, such as client walk-through, final rental order, alcohol order, documentation of additional third-party vendor roles, event timeline and instructions, kitchen notes, and the required items list.
Client Service
You will be the primary point of contact from Occasions for the client, venue, planner, and any other key stakeholders from the moment you assume control of an event until you depart the event. Virtually all communications will flow through you, and they will look to you as their event expert. You will adhere to established response timeframes and always meet the expectations you set. You will have incentives to upsell additional Occasions products and services as you complete the planning process.
Internal Communications
All event changes and documentation necessary to ensure event success will come from you. You’ll be a key participant in the weekly production meeting, reviewing and clarifying all event details, then promptly following up on any outstanding issues identified during the meeting.
Event Leadership
For the events you help produce, you will be expected to check in with the lead captain on the event to ensure that the clients' vision and expectations are fully understood by the team executing the event. The event team should be empowered by the deep knowledge you’ve accumulated regarding the event and the client. During busier times of year, you may wear the Event supervisor hat, representing the office at the event to be sure the client’s vision is realized down to minute details. In these instances, you will be in business attire and will be onsite from approximately the time the truck arrives until you are confident that the captain has all the information and tools needed to ensure event success. In all cases, you’ll actively seek opportunities to interact with clients, venues, and planners to nurture those important relationships.
Time Investment
You should expect to spend about 2-8 hours per event assigned to you on the back-end planning and documentation process. This will depend on the complexity of the event and your ability to be more efficient when working on multiple events simultaneously. Overall, we expect you to spend about equal time on planning duties and onsite event management.
QUALIFICATIONS
1-3 of event planning and management experience. College degree preferred, not required.
