Position Overview

Real estate development and property management company is seeking a detail-oriented and highly organized Office Administrator to join our team. The ideal candidate will play a crucial role in ensuring the smooth and efficient day-to-day operations of the office. The candidate will also assist other departments (accounting, leasing, maintenance) with administrative tasks as needed. This role requires a proactive individual with strong multitasking abilities.


Key Responsibilities

Administrative Support

  • Organize and maintain both physical and digital filing systems.
  • Answer and direct incoming phone calls
  • Manage incoming and outgoing mail
  • Scan and digitize documents to maintain an updated and accessible electronic filing system

Office Coordination

  • Order and maintain inventory of office supplies
  • Coordinate lunch orders daily
  • Maintain company calendar and vacation schedule

IT Liaison

  • Act as the point of contact for IT-systems, including communication with external IT support

Accounting support

  • Collect and process employee timesheets
  • Upload and organize incoming invoices for review and processing
  • Scan and file paper invoices and check stubs


Qualifications

Experience: Previous experience in office administration or a similar role is preferred but not required.

Skills:

  • Strong organizational skills
  • Proficiency in Microsoft Office Suite (Word, Excel) and familiarity with office equipment like scanners and copiers.
  • Basic knowledge of IT systems or a willingness to learn.
