We're looking for an Office Services Assistant to support with general facilities tasks. If you're organized, can handle a variety of tasks, and enjoy working in a dynamic environment, we'd love to hear from you


Responsibilities:

Mail and Packages:

  • Sort, distribute, and process incoming and outgoing mail and packages.
  • Coordinate, prepare, and scan all incoming/outgoing mail for electronic or physical delivery.
  • Track courier and accountable items such as FedEx, UPS, and certified mail.
  • Prepare and process inter-office pouches.

Office Supplies:

  • Maintain and distribute office supplies.
  • Keep inventory and restock pantry areas.
  • Ensure the accuracy of required reports, logs, and measurements.

Office Moves:

  • Assist with office moves and setup for new arrivals.
  • Collaborate with fellow team members on building maintenance requests.
  • Create ID badges for new personnel and visitors.

Event Coordination:

  • Help set up conference rooms for meetings and events.
  • Coordinate internal and external events, including supplies, signage, room setup, and other requests.
  • Monitor meeting start times and ensure rooms are vacated on schedule.

Visitor Management:

  • Serve as a primary point of contact for visitors and guests.
  • Arrange temporary IDs for visiting attorneys.
  • Check visitor offices before and after visits to ensure proper setup.


Qualifications:

  • 2+ years in customer service, ideally in a law firm.
  • Bachelor’s degree preferred, or equivalent combination of education and work experience.
  • Excellent written and verbal communication.
  • Strong customer service focus.
  • Attention to detail and ability to work under pressure.
  • Proficient with the MS Office Suite and basic internet skills.
  • Experience with document management systems is a plus.
