Administrative Assistant

Structor Group, Inc. is a commercial construction company providing construction and renovation services to commercial offices, education, healthcare, retail/restaurant, and specialty markets. Structor Group, Inc. is seeking a highly skilled and experienced Administrative Assistant to join our team.
JOB RESPONSIBILITIES:
- Manage visitors, deliveries, and vendors.
- Oversee building maintenance, repairs and small projects.
- Oversee general office duties, such as ordering office supplies (i.e. Costco, Perimeter, etc.), maintaining office supplies (including refilling the printer and kitchens), organizing files, updating company directory, and ensuring a clean and orderly office environment.
- Handling the management of the company Verizon account including ordering devices, contacting Verizon if there are issues, and discontinuing any lines that are not needed.
- Manage general inbox and distribute as needed (fax & phone)
- Manage mail sorting and delivery
- Assist in scheduling meetings and travel arrangements for the leadership team.
- Aid Project Management team at times on project administration.
- Order and distribute jobsite and office signage
- Order business cards as requested
- Coordinate company vehicle registrations and maintenance
- Manage vehicle tracking system

QUALIFICATIONS:
- High school diploma or higher degree in a related field preferred.
- Proven experience as an administrative assistant or in a similar role, preferably in the construction industry.
- Strong proficiency in MS Office applications (Word, Excel, PowerPoint) and other relevant software.
- Exceptional organizational and time-management skills with the ability to prioritize tasks effectively.
- Excellent communication skills, both written and verbal.
- Attention to detail and accuracy in handling documentation and data.
- Ability to work independently and collaboratively in a fast-paced environment.
- Knowledge of basic accounting and financial processes a plus.
- Familiarity with project management principles and software is beneficial.
- Willingness to learn and adapt to changing priorities and responsibilities.
- Maintain a professional appearance while working and representing the Company.
