As practitioners and patients ourselves, we saw the med spa industry needed disruption. We are looking for a Business Operations Manager to join our team at the Greenwich corporate location.
JOB OVERVIEW
As the Attune Business Operations Manager, you will oversee the both the fiscal growth of our Stamford and Greenwich locations (including budget control, inventory & scheduling/overhead management, financial report analysis), as well as ensure smooth day-to-day operations with our service providers & customer service team. To be successful in this role, you must be willing to immerse yourself in the world of medical aesthetics paired with integrative wellness, to facilitate ongoing training/development & create a space for you to grow with Attune. Our ideal candidate has an inherent passion for the wellness industry, as well as strong organizational skills & business financial acumen.
JOB QUALIFICATIONS
· Minimum 3-5 years experience in operations management, preferably in a spa/medical/wellness facility
· Minimum 1-2 years experience with high level financial analysis - including budget management, inventory control and purchasing systems
· Minimum Bachelor’s Degree, preferably in business administration, or similar finance background
· Must be proficient in Microsoft Office Suite (Word, Excel, PowerPoint)
· Preferred experience using EMR programs & spa management software with client sales reporting
· Ability to meet U.S. employment and eligibility work requirements
JOB RESPONSIBILITIES
· Demonstrate expert knowledge of all clinic services, technologies, products, policies & procedure – effectively communicating these aspects to all clients, employees, and stakeholders.
· Manage daily spa operations, ensuring efficient workflow and adherence to company policies and procedures.
· Develop and implement systems for inventory control, purchasing, and vendor management.
· Create and manage annual budgets and financial forecasts, including revenue projections and expense breakdowns.
· Develop and implement Key Performance Indicator (KPI) metric reports to track financial performance, operational efficiency, and marketing effectiveness.
· Review and analyze financial statements including income statements, balance sheets, and cash flow statements – to identify trends and make informed business decisions.
· Monitor financial performance against budget & forecasts, identifying variances and taking corrective action as needed.
· Prepare clear and concise financial reports for senior management, highlighting key metrics and insights.
· Identify areas for cost savings and operational improvement through financial analysis and process optimization.
· Maintain accurate records for all financial transactions, generate reports for senior management, and participate in audits/reconciliations as needed.
· Liaise with vendors & external service providers, and assist other departments in strategic financial management as it impacts the entire business.
· Collaborate with the Spa Manager to oversee staff scheduling, ensuring adequate coverage and efficient allocation of resources, while advising on human capital overhead expenditure.
· Assist Spa Manager with patient scheduling & appointment confirmations, and staff training/development programs.
· Assist Spa Manager in handling customer service conflicts & manage client complaints/feedback with proactive follow-up
· Contribute to the development and implementation of marketing and sales strategies.
· Maintain confidential, accurate, current files with all client & employee record keeping, in compliance with HIPPA laws
· Always practice punctuality, professional accountability, and exhibit overall reliability by accommodating unique client requests whenever able
