Correct Equipment represents quality manufacturers of products for Municipal Water and Wastewater treatment and Collections in the Northwest.
We are looking for a highly organized and detail-oriented Administrative Assistant to join our growing team This role is crucial for supporting the smooth operation of the office and various departments. You will handle a wide range of clerical, administrative, and light technical responsibilities to help drive the company’s success in the water and wastewater utilities sector.
Role Description
This is a full-time on-site role for an Administrative Assistant at Correct Equipment in Redmond, WA. The Administrative Assistant will be responsible for providing administrative assistance, demonstrating phone etiquette, effective communication, executive administrative support, and utilizing clerical skills on a day-to-day basis.
Operational Support:
- Order Tracking: Monitor and track customer orders, ensuring timely processing and updating customers on their order status.
- Quoting & Order Processing: Assist with preparing customer quotes and processing orders accurately within established timelines.
- Inventory Management: Perform regular inventory counts, manage organization and stocking, and update records accordingly.
- Technician Scheduling: Coordinate and schedule field technician activities using Service Fusion, ensuring efficient use of time and resources.
- Customer Service: Act as a primary point of contact for customers, handling inquiries, complaints, and resolving issues with professionalism and tact.
- Billing & Accounts: Manage credit card recording, customer billing, and invoicing, ensuring accuracy and timeliness.
- Shop & Warehouse Support:
- Light Shop Duties: Assist with organizing, loading, and unloading shipments, and keeping the shop area clean and efficient.
- Collaborate with the field and shop teams to ensure all equipment and supplies are available and prepared for projects.
Qualifications:
- Experience & Education:
- High school diploma or equivalent (Associate's degree preferred but not required).
- 1-2 years of relevant work experience in office administration, customer service, or a related field.
- Proficiency with Microsoft Office Suite (Outlook, Word, Excel, and PDF), with the ability to learn new software quickly.
- Experience with billing, invoicing, and accounts receivable is a strong plus.
- Skills & Abilities:
- Exceptional communication skills: Strong verbal and written abilities to communicate effectively with customers, vendors, and internal teams.
- Organizational skills: Able to manage multiple tasks efficiently, with strong attention to detail and a focus on accuracy.
- Multitasking ability: Capable of handling a high volume of tasks and priorities simultaneously in a fast-paced environment.
- Ability to lift up to 50 pounds occasionally (required for light shop tasks).
- Self-motivated and capable of working independently or collaboratively within a team.
