Location: National Institute of Allergy and Infectious Diseases (NIAID), Rockille, MD, 20852

Education: Minimum of an Associate's degree


Position Summary:

This role involves providing independent support services to meet the operational objectives of NIAID. The primary responsibility is to assist in procurement processes, invoice management, contract documentation, and overall support to ensure smooth purchasing and contract closeout functions.


Key Responsibilities:

  • Assist in the preparation, verification, and finalization of contracts and documentation, ensuring compliance with regulations.
  • Edit, format, and review procurement documents and correspondence for completeness.
  • Track the resolution of unpaid invoices by researching missing or incomplete orders.
  • Enter and maintain purchasing data in tracking systems and spreadsheets, using tools like Microsoft Excel.
  • Run daily "Invoice on Hold" reports to ensure timely payment.
  • Coordinate with vendors to resolve discrepancies in invoices, shipments, and receiving documentation.
  • Maintain and organize purchasing files, ensuring that all required documents are complete and in order.
  • Assist in purchase order closeout by verifying that final payments are made and files are closed properly.
  • Enter data for Federal Procurement Data System (FPDS) reporting related to contract modifications and closeouts.


Qualifications:

  • High School Diploma or Equivalent (minimum)
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint)
  • Strong communication skills to provide professional and timely customer service.
  • Experience in deliverable review, invoice management, and procurement support is preferred.


Skills (Ranked by Priority):

  1. Assist in vendor communication and invoice discrepancy resolution.
  2. Edit and format procurement documents.
  3. Maintain purchase order files, ensuring completeness and compliance with regulations.
  4. Enter FPDS reporting and track purchasing data.
  5. Run daily reports to ensure timely invoice payments.


Software Requirements:

  • Microsoft Office Suite (Word, Excel, PowerPoint)


Field of Study:

  • Less than a Bachelor’s Degree (minimum Associate’s)
