The Administrative Coordinator supports InUnison’s President/CEO and Vice President of Organizational Strategy by handling various clerical tasks and administrative duties. This position also assists in fulfilling organizational needs, ensuring smooth operations across multiple departments.


ESSENTIAL JOB DUTIES & RESPONSIBILITIES:

Board Liaison for InUnison and Partner/Sub Organizations

  • Serve as the Board Secretary including transcribing and writing minutes for the InUnison Board of Directors, Virginia Retail Federation, Valor RVA, and Virginia Association of Chain Drug Stores.
  • Manage the scheduling, coordination, and preparation of all Board meetings, committee sessions, and social activities.


Office Management:

  • Orders general office supplies and assists with maintaining office equipment, including copiers and laptops.
  • Serve as a liaison with the IT support company to address any technical issues.
  • Ensure the organization’s office environment is well-maintained and fully operational.
  • Sort and distribute incoming and outgoing mail daily.


Calendar & Travel Management:

  • Manage registrations and travel logistics for the President/CEO and Vice President.
  • Maintain and update calendars for the President/CEO and Vice President, ensuring all commitments are tracked.


Event & Meeting Coordination:

  • Provide support during organizational events, including after-hours work when necessary.
  • Schedule and coordinate member mentorships and member roundtables.


Culture & Team Support

  • Plan and manage quarterly team-building activities, volunteer opportunities, and other staff meetings or retreats.


Administrative Support:

  • Assist with bookkeeping and clerical insurance tasks as directed by the President/CEO.
  • Perform routine administrative tasks and provide support to other InUnison team members as needed.
  • Coordinate communications related to scheduling, ensure commitments are confirmed, and assist in facilitating the logistics of programs.



ESSENTIAL SKILLS / EXPERIENCE Preferred

  • Candidate must be highly organized, detail-oriented, and have excellent writing skills.
  • Generally, requires at least 1 year of related experience in administrative roles.
  • Proficiency with Microsoft Office products, including Office 365 and SharePoint, is essential.
  • Experience with event coordination or office management is preferred but not required.
