Job Description: Administrative Services Specialist - Bilingual Mandarin


Overview

To support the growing needs of our global automotive client base, we are seeking a detail-oriented and resourceful Administrative Services Specialist to join our team. This role is pivotal in providing comprehensive administrative support, managing expatriate relocation, and overseeing international travel logistics. The ideal candidate will be fluent in both English and Mandarin and possess strong organizational and communication skills. This position is based in either Marshall, MI or Reno, NV.


Responsibilities

  • Administrative Support:
  • Manage day-to-day office operations, including supply orders, facility maintenance, and workspace organization.
  • Provide front desk support, handling visitor reception, phone calls, and correspondence.
  • Coordinate meetings, conferences, and events, ensuring seamless logistics.
  • Expatriate Relocation:
  • Facilitate smooth relocation for employees transferring from China to the U.S. by coordinating housing, transportation, and other essential services.
  • Collaborate with HR and external partners to process visa applications and ensure regulatory compliance.
  • Develop and implement integration programs for expatriates and their families, providing ongoing support.
  • International Travel Management:
  • Arrange travel itineraries for U.S. employees visiting China, including flights, accommodations, and ground transportation while adhering to company policies.
  • Coordinate visa applications and ensure compliance with international travel regulations.
  • Provide comprehensive travel support to employees, addressing any issues that arise.
  • Policy Enforcement:
  • Assist the Administrative Services Manager in enforcing company policies related to administration and travel.
  • Maintain policy alignment with company standards and legal requirements, providing staff training as needed.
  • Monitor policy compliance and recommend improvements.
  • Interdepartmental Collaboration:
  • Work closely with HR, finance, and operations to optimize administrative processes.
  • Serve as a point of contact for other departments, providing administrative assistance and information.
  • Flexibility and Travel:
  • Demonstrate adaptability in work schedules to accommodate company needs, including participation in after-hours events and projects.
  • Be prepared for domestic and international travel to support company initiatives.


Qualifications

  • Minimum 3 years of administrative or internal services experience in a corporate setting.
  • Prior experience in expatriate relocation and international travel management preferred.
  • Fluency in both English and Mandarin is essential.
  • Excellent verbal and written communication skills.
