Position Summary:

The Executive Administrative Assistant will play a pivotal role in our real estate operations. This individual will manage administrative tasks, maintain and improve our systems, and assist with real estate-related activities. The ideal candidate will possess excellent communication skills, be highly organized, proactive, and capable of managing multiple priorities simultaneously.


Key Responsibilities:


Real Estate Administrative Support

  • Create and manage buyer and listing documents with precision and timeliness.
  • Input listings into the MLS, ensuring all details are accurate and compliant.
  • Assist with transaction coordination and ensure deadlines are met.
  • Maintain all transaction records and client files in Google Drive.
  • Manage executive schedules, including appointments, meetings, and travel arrangements.
  • Serve as the first point of contact for internal and external communications, demonstrating exceptional phone etiquette
  • Prepare and organize documents, reports and presentations for meetings.
  • Maintain filing systems electronically and in-office to ensure accurate record-keeping for office management
  • Provide clerical support including data entry, correspondence, and maintaining office supplies.
  • Collaborate with other team members to improve administrative processes and enhance overall efficiency.

Team & Operational Support

  • Develop, document, and implement Standard Operating Procedures (SOPs) for all aspects of the business (priority in the first two weeks).
  • Plan and maintain a comprehensive marketing calendar for the year.
  • Prepare and distribute the weekly agenda for team meetings, ensuring efficiency and productivity.
  • Organize and track potential training materials to enhance team development.

Event Planning & Marketing

  • Plan and execute quarterly client events, ensuring every detail is meticulously managed.
  • Coordinate investor seminars and First-Time Homebuyer (FTHB) events.
  • Develop quarterly pop-by gifts for the team to connect with clients.
  • Work closely with the team to brainstorm and execute creative marketing strategies.

 

Additional Responsibilities

  • Provide exceptional customer service and act as a professional liaison between the team, clients, and vendors.
  • Manage communications and ensure timely responses to client inquiries.
  • Stay updated with industry trends and local market dynamics to support team operations.

Qualifications:

  • Must hold an active NC Real Estate License.
  • Proven experience as an administrative assistant or in a similar role, preferably supporting executives.
  • Proven ability to juggle multiple tasks and manage shifting priorities in a fast-paced environment.
  • Strong organizational and time-management skills with acute attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, Power Point), Google Drive, MLS systems, and CRM tools and Canva.
  • Ability to create Standard Operating Procedures (SOP’s) for all office tasks
  • Excellent communication skills, both written and verbal.
  • Attention to detail with strong problem-solving abilities
  • Ability to maintain confidentiality and handle sensitive information appropriately.
  • Positive, can-do attitude with the ability to work independently and as part of a team.
  • Experience in event planning or marketing is a plus.

  • Previous experience in office management or as a personal assistant is highly desirable.
