Job Summary:


We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support the Company’s President and Chief Operating Officer in our Sioux Falls, SD Location. The ideal candidate will be a strong communicator, capable of managing multiple tasks with precision, and will play a pivotal role in ensuring the efficiency and effectiveness of the President and COO.


Key Responsibilities:


  • Calendar Management: Coordinate and manage complex schedules, including meetings, appointments, and travel arrangements for senior executive.
  • Communication: Serve as the primary point of contact between the executive team and internal/external stakeholders. Handle incoming communications, prioritize requests, and ensure timely responses.
  • Meeting Preparation: Prepare agendas, briefing materials, and presentations for meetings. Record meeting minutes and follow up on action items as required.
  • Travel Coordination: Arrange detailed travel itineraries, including flights, accommodations, and transportation. Manage last-minute changes and provide ongoing support during travel.
  • Document Management: Draft, review, and edit correspondence, reports, and other documents. Maintain confidential files and records.
  • Event Planning: Organize and coordinate events, conferences, and off-site meetings, ensuring all logistical details are handled seamlessly.
  • Project Support: Assist with special projects and initiatives as directed by senior executives. Ensure project timelines are met and deliverables are completed accurately.
  • Expense Management: Process and track expense reports, ensuring timely submission and adherence to company policies.
  • Office Coordination: Collaborate with other administrative staff to ensure smooth office operations. Provide backup support as needed.


Qualifications:

  • Education: Associate degree; bachelor’s degree preferred.
  • Experience: Minimum of 3 years of experience as an Executive Assistant or in a similar role supporting C-level executives, preferably in a fast-paced environment.

Skills:

  • Strong organizational and multitasking abilities.
  • Excellent written and verbal communication skills.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with calendar management tools (e.g., Google Calendar, Microsoft Outlook).
  • Ability to handle confidential information with discretion.
  • Exceptional attention to detail and accuracy.
  • Ability to work independently and prioritize tasks effectively.
