Position Summary

The Onboarding Specialist plays a crucial role in supporting the Talent Acquisition Department by providing clerical and administrative assistance to Recruiters and Associate Recruiters. Key responsibilities include processing job references, conducting background checks, handling new hire paperwork, coordinating candidate and recruiter travel, and managing onboarding activities such as scheduling occupational health appointments, organizing new employee orientation, and tracking deferred hiring processes. This role acts as the primary liaison between new hires, Talent Acquisition, Occupational Health, and Human Resources Development departments.


Key Responsibilities:

  • Process job references and background checks.
  • Handle new hire paperwork and coordinate candidate and recruiter travel.
  • Schedule occupational health appointments and new employee orientation.
  • Track deferred hiring processes and manage related transactions.
  • Serve as the onboarding liaison between new hires and various departments.
  • Provide direct customer service and assistance related to the talent acquisition process to both internal and external customers.
  • Cover multiple talent acquisition functions and act as a point of contact for select vendors and community contacts.
  • Assist with new hire processing, including finalizing employee files, I-9 and E-Verify processing, and ID badge creation.
  • Ensure compliance with Shands policies and state and federal guidelines.
  • Support the Talent Acquisition team by utilizing applicant tracking systems and other software for routine processes.
  • Respond to inquiries regarding applicant and employee information and HR protocols.


Minimum Education and Experience Requirements:

  • High School diploma or equivalent.
  • 4 years of administrative experience in a Human Resource Department or 4 years of progressively responsible administrative experience with independent project task management, including interacting with the public.
  • An AA degree may substitute for 2 years of experience.
  • Proficiency in Microsoft Word and Excel.
  • Applicant tracking experience is highly desirable.
