Records / Office Services Assistant

A prominent national law firm is seeking a proactive and detail-oriented Records/Office Services Assistant to support daily operations by maintaining the office environment, assisting with catering and reception, and handling mail and general office services. The ideal candidate will play a key role in ensuring the office runs smoothly and efficiently, providing support across various tasks and departments.
Key Responsibilities:
- Pick up and drop off mail at the end of the day.
- Manage the drop-off of FedEx packages.
- Replenish paper and supplies in copiers and printers.
- Process incoming mail and packages.
- Inputs and updates accurate data in the Firm’s records management software.
- Manages incoming records requests by retrieving and referencing information for users, utilizing firm software and vendor databases. Keeps the database updated to ensure the status and information related to retrievals are current and accurate.
- Set up and clean up for catered meetings and events.
- Arrange and prepare conference rooms for meetings, ensuring rooms are tidy, stocked, and appropriately set up for the next group.
- Assist with coordination and setup of office events and functions.
- Provide coverage for the reception desk, greeting clients and visitors in a professional manner.
- Answer phones and direct calls appropriately.
- Assist with directing guests to meetings and providing assistance as needed.
- Restock office kitchens, ensuring coffee stations, snacks, and supplies are available and neatly organized.
- Keep common areas, such as break rooms and meeting spaces, clean and presentable throughout the day.
- Coordinate with building services as needed to ensure a clean and well-maintained office environment.
Qualifications:
- At least 2 years of records/office services experience.
- Previous experience in an office services or administrative support role preferred.
- Strong attention to detail and organizational skills.
- Ability to multitask and manage time efficiently in a fast-paced environment.
- Strong communication and interpersonal skills.
- Ability to lift and move moderately heavy items, such as packages and catering equipment.
Compensation:
$50k - $60k annually depending on experience
