To support a growing roster of talent, an evolving company, and an increasing volume of projects, the division7 team is seeking a full-time, in-office Production Coordinator to join the team. This person will help shepherd our continuing growth by supporting the Managing Directors, COO, Bidding Producer, Sales department. The ideal candidate has a strong interest and natural talent in problem solving, research, and an ability to work both independently and within a close-knit team. The Staff Production Coordinator should be able to adapt to the fast-paced nature of commercial productions and have excellent communication skills. You are a self-starter, goal-oriented, solution-based coordinator focused on learning to anticipate the needs of the team. This role reports to the Managing Directors and COO in the commercial division, and will also be in communication with Sales, Bidding Producer(s).


KEY RESPONSIBILITIES

The main goal of this role is to help and support the Managing Directors in running the company, as we work to achieve short and long term growth:

  • Support internal operations by maintaining the company calendar, live spreadsheets, master contact list, company and director info, and systems such as project database, Dropbox, and Google Workspace where key data is stored.
  • Help offer and carry out ideas for organization and infrastructure processes and projects, particularly where certain programs or workflow systems can streamline the company and team.
  • Coordinate calls, track and store key information and documents, book treatment support, and hold crew for projects in the bidding phase.
  • Support the Managing Directors and Bidding Producer, as they oversee the director and production crew from the top level perspective, by participating in the prep and wrap, and facilitating processes of awarded projects as they move into production.
  • Assist in communication with the company sales reps, help track awards and press, and help with planning sales events and trips.
  • Work alongside the bidding producer in conducting research during the bidding process.


ADDITIONAL RESPONSIBILITIES

  • Marketing of the brand, and development of brand identity (website, social media, company merch, etc.).
  • Anticipating and eventually taking over social media asset coordination and helping to execute postings.
