Our Client, a leader in commercial real estate and facilities/asset management is seeking to add an Executive Assistant to its team. This role will work in Newport Beach, CA and works Monday – Friday, 8am – 5pm. This is a contract to hire role that pays $29-31 per hour. Upon conversion this role offers increased compensation, an annual bonus plan, and a strong benefit package.


Responsibilities:

  • Coordinate and plan events, meetings, and conferences, ensuring seamless execution.
  • Schedule and manage appointments and calendars for the lead broker and other team members as necessary.
  • Act as a primary point of contact for clients, employees, and visitors, providing professional and courteous assistance.
  • Draft, edit, and transcribe confidential correspondence, reports, and other documents.
  • Maintain and update databases, and prepare data analysis and reports for management.
  • Serve as a liaison between executives, internal management, and external stakeholders, facilitating communication and coordination.
  • Monitor and track issues, ensuring timely follow-up and resolution.
  • Take independent action on handling requests, intervening where necessary to ensure efficient workflow.
  • Provide administrative support to the lead broker and team members, including handling sensitive information with discretion.


Qualifications:

  • Minimum of 3 years of experience in a fast-paced executive assistant environment.
  • High school diploma required; Associate's degree or higher preferred.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Experience supporting high-level individuals and managing complex calendars and schedules.
  • Ability to thrive in a fast-paced environment, managing multiple tasks with attention to detail and accuracy.
  • Excellent communication skills, both written and verbal, with a professional demeanor.
  • Dependable and reliable, with the ability to maintain confidentiality and handle sensitive information.
  • Real estate experience is a plus.
