Responsibilities

  • Oversee the coordination and timely execution of multiple ongoing projects within the practice group. Ensure that team members meet deadlines, and that work is distributed efficiently.
  • Act as the primary point of contact for project management, tracking deliverables, and ensuring smooth workflow across attorneys and support staff.
  • Handle the preparation of legal documents by scanning, reviewing, and meticulously editing for accuracy and compliance with legal standards.
  • Draft professional, clear, and concise correspondence for attorneys and senior partners. This includes letters, memos, emails, and legal notices. Ensures all communication is polished, timely, and reflects the firm's professional image.
  • Accurately track and enter attorneys’ billable hours into the firm’s timekeeping system.
  • Compile and organize receipts and financial records to prepare detailed and accurate expense reports. Ensure reports are submitted promptly and follow the firm’s internal policies for reimbursement and tracking.
  • Manage highly sensitive and confidential information with the utmost discretion. Ensure that all materials comply with data privacy and confidentiality laws.
  • Coordinate the Senior Partner’s calendar, scheduling meetings, court dates, and client appointments. Arrange all travel logistics, including booking flights, accommodations, and transportation. Anticipate scheduling conflicts and resolve them proactively.
  • Provide administrative support to additional attorneys and staff as needed. Flexibility and the ability to multitask are crucial for handling ad-hoc requests. Remains open to taking on new responsibilities as the role evolves.


Ideal Experience

  • Bachelor’s degree is required with a minimum of 3+ years of experience as an executive assistant in a professional environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong organizational and multitasking skills, with the ability to prioritize effectively.
  • Excellent written and verbal communication skills. Personable, friendly, and approachable with a can-do spirit.
  • Outstanding writing skills, proofreading and editing confidence are a must.
  • Capable of figuring things out independently and streamlining processes. Strong attention to detail.
  • Ability to keep private matters confidential and handle sensitive information discreetly.
  • Able to connect the dots and use practical judgment to solve issues.
  • Adaptable, able to figure out problems, and utilize available resources effectively.
  • Dependable, responsive, and manage responsibilities outside of traditional hours.
