Branch Office Administrator

Our client, a global leader in the IT industry, is seeking to hire an Office Branch Administrator. This position will sit onsite at their Bloomington, MN office and work from 8am-5pm Monday – Friday. This role pays $21/hour and includes benefits (medical, dental, vision). This position starts as a 6-month contract but opens future opportunities for contract extensions and full-time positions for top performers with this Technology industry leader.
Position Overview
In this role you will sit at the front desk and greet all clients, customers, and co-workers in a professional and friendly manner. In addition, you will answer incoming calls, receive packages, schedule UPS pickups, order catering for conferences and meetings and coordinate all company events.
Key Areas of Responsibility
- Perform general office duties such as ordering supplies, maintaining records management systems, and performing basic bookkeeping work.
- Prepare invoices, reports, memos, letters, financial statements, and other documents.
- File and retrieve corporate documents, records, and reports.
- Open, sort and distribute incoming correspondence, including faxes and emails.
- Prepare responses to correspondence containing routing inquiries.
- Provide primary administrative support for the local management and coworkers.
- Support professional services business, where applicable: Performs weekly audit, reconciliation and follow up of unbilled services.
- Obtain, route, distribute and file customer contracts.
- Assists account managers with sales/order administration activities as outlined by local management.
- Coordinates key customer, coworker, partner meetings, events, workshops, and conference calls.
- Inform attendees of function dates and times, reserves, and sets up meeting space, provides necessary ancillary equipment/materials, if required, and hospitality services when appropriate.
- Assists with sales and marketing presentations, RFP’s, proposals, and seminar materials (i.e., formatting, preparing, proofreading, copying, assembling, binding).
- Expedite the resolution of customer problems/issues.
- Assists in preparation of periodic (weekly, monthly, quarterly) reports.
- Maintain department files and marketing materials.
- Maintain and order office supplies.
- Verify relevant branch expenses and ensures that charges are made to the appropriate cost centers.
- Prepare expenses for Branch Manager’s approval, where applicable.
- Monitor the appearance and maintenance of the branch office, coordinates resolution of maintenance and repairs and escalates to Branch Manager as needed. Tracks availability of workspace and keeps Branch Manager informed of status and branch office space and facility needs.
- Receive incoming telephone calls and visitors, aids or directs to the appropriate office or person in the local branch and provides back-up to other In Market offices.
Requirements/Qualifications
- Minimum of 3+ years in administrative support or corporate office setting.
- Advanced skills with MS Office (i.e., Outlook, Word, Excel, PowerPoint); experience with Visio a plus.
- Significant experience using technology (i.e., multi-line phone systems, various online tools).
- Ability to handle multiple activities at once and work under deadlines.
- Ability to anticipate requirements and work independently to accomplish objectives.
- Excellent organization and project coordination skills and attention to detail
- High School diploma or equivalent/college degree preferred.
