This is a position with supervisory responsibilities of all staff in the Business Operations unit is tasked with all accounting, financial reporting, budget, resource allocation and administrative operations. This position ensures adherence to policies and procedures and maintains and enhances a strong service orientation to internal and external stakeholders. This is a hybrid position. Staff currently work in the Chicago office three days per week, subject to change as needed.

DUTIES AND RESPONSIBILITIES
  1. Financial Management:
    • Responsible for accounting and related functions for all departmental funds, including a growing portfolio of sponsored programs and revenue funds.
    • Manage and monitor budget and expense transfers, reconciliation of expenses including payroll, error reports etc.
    • Manage annual budgeting and fiscal year reporting processes.
    • Supervise the preparation of routine and ad-hoc financial reports.
    • Oversee the T-Card and P-Card program. Serve as Department Card Manager.
    • Manage the review, coding, and approval of accounting transactions.
    • Oversee labor distributions and sponsored project staffing.
    • Serve as the point person for transmission of financial reports.
  2. Procurement and Contract Management:
    • Manage procurement processes, writing requests for proposals (RFP's), contract processing, including revenue contracts.
    • Supervise invoicing and accounts receivable functions.
  3. Compliance and Policy Enforcement:
    • Provide inputs for formulation of policies and procedures.
    • Responsible for interpreting and implementing federal and sponsor regulatory and compliance requirements.
    • Ensure compliance with internal and external requirements of grants and contracts.
    • Oversee post-award reporting and compliance with funding agency requirements.
    • Keep abreast of changing grant standards and proposal guidelines.
    • Ensure compliance with internal and university policy.
    • Train and serve as a resource to administrative staff regarding policy adherence.
  4. Operational Management:
    • Lead Business Operations and administrative team. Manage and improve operational systems, processes, and best practices.
    • Serve as a broad resource to DPI leadership, staff in resolving business and administrative issues.
    • Set priorities and guidelines for individual projects and work assignments.
    • Provide business operations training and financial and accounting systems and processes training for DPI staff.
    • Partner with various constituents and serve on various committees.
    • Liaise with System Human Resource Services team as needed.
QUALIFICATIONS

- Bachelor's degree business, accounting, finance, economics, social science, or other related fields.

- Minimum of 5 years (for Assistant Director) 10 years (for Senior Assistant Director) with increasing responsibilities in a finance and accounting position.

- Experience with accounting of sponsored funding.

- Excellent in spreadsheet skills and office productivity software.

- Demonstrated experience with Banner, MyUIFinancials, EDDIE, TEM, and other Finance and Accounting Systems.

- Demonstrated experience with university fiscal year end and budget process.

- Strong verbal and written communications skills to effectively present information and respond to requests for guidance and/or clarification.

- Knowledge of current University business and financial policies and procedures Buying & contracts, Travel, Equipment Mgt and Receivables.

- Demonstrated supervisory experience of professional administrative and/or staff performing business operation functions. Ability to address and resolve challenging accounting issues and strong interpersonal skills to establish and maintain effective working relationships with both internal and external constituents.

- Ability to multi-task and produce accurate, detail-oriented work to meet stringent deadlines; creativity in problem-solving and exercising independent judgment and discretion.

- Understanding of university accounting and financial business processes such as charging expenses and reimbursements. - Master's Degree in a relevant field (business, accounting, finance, economics, or other related fields) preferred
