Synopsis:
As a Facility Manager, you will be responsible for overseeing the efficient operation and maintenance of our facilities.

You will play a crucial role in ensuring a safe, functional, and comfortable environment for employees, visitors, and community members.

Your primary objective will be to optimize facility operations, minimize downtime, and manage resources effectively. Facility Managers in healthcare settings ensure the delivery of high-quality patient care while maintaining safety, compliance, and operational efficiency.

Bachelor's degree in facility management, business administration, or related field or Several years of experience in facility management or a related field.

Comprehensive understanding of facility operations, maintenance, and safety regulations.

Duties and Responsibilities :

Maintenance Management:


Develop and implement preventive maintenance programs to ensure the ongoing functionality of building systems, including HVAC, plumbing, electrical, and security systems.

Coordinate with external vendors and contractors for maintenance, repairs, and renovations.
Conduct regular inspections to identify and address maintenance issues promptly.
Respond to emergency maintenance requests and ensure timely resolution.
Ability to perform small building repairs.

Space Planning and Allocation:
Manage space allocation and utilization to optimize facility layout and accommodate the needs of various departments.
Plan and oversee office relocations, expansions, and renovations as required.
Collaborate with stakeholders to assess space requirements and recommend improvements.

Health and Safety Compliance:
Ensure compliance with local health and safety regulations and industry standards.
Develop and implement safety protocols, emergency procedures, and evacuation plans.
Conduct safety inspections and risk assessments to identify hazards and implement corrective measures.

Budgeting and Financial Management:
Prepare and manage the facility budget, including operating expenses, capital expenditures, and maintenance costs.
Identify cost-saving opportunities and implement strategies to optimize spending.
Monitor expenses and financial performance against budgetary targets.

Vendor and Contractor Management:
Source and negotiate contracts with service providers, suppliers, and vendors.
Manage vendor relationships, including performance evaluations and contract renewals.
Ensure that vendors comply with contractual agreements and service level expectations.

Environmental Sustainability:
Implement eco-friendly practices and initiatives to minimize the facility's environmental footprint.
Identify energy-efficient solutions and promote sustainability awareness among staff.

Supervise administrative support employees responsible for mail management, training set up and support, and package handling.
Ensure efficient handling and distribution of incoming and outgoing mail.
Coordinate training room setup and provide logistical support for training sessions.
Oversee the receipt, tracking, and delivery of packages and parcels to appropriate recipients.

Cleaning Services Management:
Manage cleaning services at all facilities, including offices, common areas, and restrooms.
Develop cleaning schedules and procedures to maintain cleanliness and hygiene standards.
Monitor the performance of cleaning contractors and ensure compliance with cleaning protocols and safety regulations.
Address any issues or concerns related to cleanliness promptly and effectively.

Special Facility Projects:
Lead special facility projects involving the renovation of clinical and administrative areas.
Collaborate with stakeholders to define project objectives, scope, and budget requirements.
Oversee the planning, design, and execution of renovation projects, ensuring compliance with regulatory requirements and quality standards.
Coordinate with internal teams, external consultants, and contractors to ensure timely project delivery and minimize disruptions to operations.
Provide regular updates on project progress, milestones, and budgetary status to senior management.
Supervisory Responsibilities

Vendor Selection and Contracting:
responsible for selecting vendors who can provide the necessary services and meet the facility's requirements. This involves researching potential vendors, obtaining competitive bids, evaluating proposals, and negotiating contracts.

Vendor Performance Monitoring:

monitor the performance of vendors to ensure that they deliver services in accordance with contractual agreements and quality standards.

This may involve conducting site visits, reviewing service reports, and soliciting feedback from staff and stakeholders. Facility Managers address any performance issues or concerns promptly and work with vendors to resolve them.

Budget Management:
oversee vendor-related expenses and ensure that they align with the facility's budgetary constraints. They negotiate pricing and terms with vendors to secure cost-effective solutions while maintaining service quality. Facility Managers track expenses, review invoices, and reconcile billing discrepancies to ensure accurate and timely payment to vendors.

Compliance and Risk Management:
ensure that vendors comply with regulatory requirements, safety standards, and contractual obligations. They verify that vendors have appropriate licenses, certifications, and insurance coverage.

Relationship Management:
cultivate positive relationships with vendors based on trust, communication, and collaboration.

They serve as the primary point of contact for vendors and facilitate regular communication to address issues, discuss project requirements, and coordinate activities.


Performance Improvement and Innovation:
encourage continuous improvement and innovation among vendors to enhance service delivery and meet evolving facility needs. They solicit feedback from stakeholders, evaluate vendor performance metrics, and identify opportunities for process optimization and innovation.

Physical Requirements :
Able to walk, stand, and climb stairs comfortably for extended periods.
Able to lift moderate weights safely (up to 50 lb) and follow proper lifting techniques to prevent injury.
Physical resilience to handle the demands of the job, including responding to emergencies and working under pressure.
Able to identify safety risks, follow safety protocols, and take appropriate precautions to prevent accidents and injuries.
A valid driver's license and the ability to operate a vehicle safely.

Comfortable working in a variety of environments, including indoor and outdoor settings, and being able to adapt to different physical conditions as needed.

Able to perform small building repairs.
