ASSISTANT GENERAL MANAGER

The Assistant General Manager (AGM) functions in conjunction with and under the supervision of the General Manager (GM) as the professional-in-charge of the specific asset(s) under management.

The APM is responsible for all aspects of client and tenant satisfaction.

Of specific importance is working with the General Manager (GM) in achieving stated financial results (NOI and cash flow) and operating objectives (leasing, capital improvements, system enhancements, tenant satisfaction, operating expense control, etc.).

The AGM will be working for an owner that is dedicated to bringing an elevated level of service and experience to tenants within a commercial office environment.


WHAT YOU'LL DO

The successful applicant will be working within two Class A trophy properties located in NYC, one located downtown and the other in mid-town.

Applicant must bring a high level of sophistication within the commercial management platform and must have experience in providing a high level of service to tenants and visitors in their previous roles.

Previous skills in designing and deploying a concierge level of service with a focus on hospitality and customer satisfaction is desirable.

Oversee the management, supervision and professional development of the Property Administrator.
Assists with the preparation and review of the weekly, monthly and annual reports as required. (e.g. Income & Expense, Work Orders and preventative maintenance, Accounts Receivable, Variance Analysis, Real Estate Tax payments, Property Tax fillings, etc).
Reviews and approves purchases of supplies and equipment in accordance with client budgets and established parameters. Will be the lead on both CAPEX and OPEX budgets for the client, working closely with the on-site accountant.
Prepares annual submissions for review by the GM for property and industry awards (e.g., BOMA TOBY award).
Responsible for development, revision and implementation of property manuals and on-line systems.

Works with Client Accounting Services (CAS) to manage the accounting process fully and directs on-site bookkeeping functions and collection process.

Oversees the development and revision of written accounting procedures for the office.
Prepares and reviews financial documents pertaining to all building operations.

These include but are not limited to:

tenant billing processes, occupancy rates, dates of lease expirations, financial reporting for client monthly and ensures quarterly and annual compliance with financial documents.

Report to General Manager any variances, concerns and projections needed to sustain building operations.
Inspects facilities and equipment to determine extent of service and equipment required and ensures the remedy of any deficiencies. Recommend, justify, develop and coordinate projects that enhance the value of the properties.
Work with Building Engineering Staff and Chief Engineer to assign employees to duties pursuant to client and JLL guidelines.

Arrange for alterations, maintenance, upkeep, or reconditioning of facilities as specified in the operating budget, management plan, and/or management services agreement.

Draft contracts, conduct follow-up with vendor for return of contract in a timely manner.
Competitively bid and prepare all service contracts to assure high quality and cost-effective services are delivered to the property. Assemble and analyze contract bids, and submit bids, recommendations, and standard form contract agreement for execution.

Work with Engineering Staff/Chief Engineer to ensure that emergency evacuation procedures are in place and life safety systems are operating effectively and that emergency procedures and action plans are kept updated on a regular basis.

Assists Chief Engineer in meeting the assigned criteria within the Compliance Excellence Program and Engineering Audit with the assistance of the Property Administrator.

Assures compliance with required policies, procedures, and standard practices.
Maintains role as primary/secondary contact for tenants relative to tenant service requests. Proactively meets with tenant representatives on scheduled basis. Communicates regularly with the Property Administrator, providing necessary support and information to this primary tenant contact.
Prepares and/or reviews periodic inventory of building contents and property condition, and forwards listing to client for review.
Oversees the management, communication, and management the tenant move-in/move-out process to minimize disruption to established tenants.

Employs or contracts for onsite management and engineering personnel, as delineated within the operating budget, management plan and/or management services agreement.

Submits hiring recommendations to General Manager for approval.
Oversees the implementation of the tenant relations program at assigned buildings.
