The Department of Parks, Recreation, and Tourism is looking for an energetic Office Coordinator who is passionate about serving the community and wants to be part of a team that provides high-quality events, programs, activities, and services that enhance the quality of life for both residents and visitors to Chesapeake. The ideal candidate will excel in delivering exceptional customer service and effectively communicate with the public. This role involves a diverse range of administrative tasks that have a significant impact on the department's overall operations. The Office Coordinator will supervise the front office staff of the Administrative Office and state-certified Visitor Center.

Key responsibilities of the Office Specialist include:

  • Supervising and organizing schedules for the front office staff of the Administrative Office and Visitor Center, ensuring exceptional customer service.
  • Managing the content on the department's webpages on the City's website, providing updates, ensuring accuracy and timeliness, and making recommendations for optimal placement of material.
  • Acting as the primary content provider for the City's website, adhering to guidelines, and collaborating with the City's IT department for necessary edits and design choices.
  • Engaging with department and external websites, as well as social media channels to gather information.
  • Acting as the administrative liaison for the Parks, Recreation, and Tourism Advisory Board, attending monthly meetings, recording minutes, and transcribing audio files.
  • Assisting with various special events and programs throughout the year.
  • Handling point-of-sale transactions and registrations using recreation management software, ensuring compliance and accuracy in registration processes.
  • Managing department records, FOIA requests, and customer inquiries, as well as overseeing general department email accounts.

Additionally, the Office Coordinator will be responsible for coordinating maintenance requests, overseeing office operations, and providing administrative support for special projects. The role requires meticulous attention to detail, strong written and proofreading skills, and the ability to multitask effectively.

Required Qualifications:
  • VOCATIONAL/EDUCATIONAL REQUIREMENT: Requires an associate's degree in word processing, secretarial skills, or a related field.
  • EXPERIENCE REQUIREMENT: Minimum two years of full-time equivalent experience in administrative support.
  • SPECIAL CERTIFICATIONS AND LICENSES: Valid driver's license with a clean driving record.
  • SPECIAL REQUIREMENTS: Willingness to work beyond regular hours during department needs and emergencies.

Preferred Qualifications include excellent customer service skills, a proactive approach to process improvement, proficiency in Microsoft Office, experience with graphic design software, and the ability to collaborate effectively in a team environment.
