GENERAL SUMMARY

Under the guidance of the Director of Development, the Planned Giving Officer is responsible for the planning and execution of the museums comprehensive planned giving program, and for the cultivation of planned giving prospects, soliciting planned gifts, and documenting planned gifts and stewardship of planned giving prospects, donors, and administration of estate gifts. The Planned Giving Officer cultivates, and stewards planned giving through personal contacts, planned giving marketing efforts, and Tannahill Society participation and recognition.

ESSENTIAL FUNCTIONS

  • Solicit, close, and document new pledged gifts annually and facilitate the closing of established estate gifts in accordance with museum financial goals (FY 24-25 goal of administering 2 million in realized gifts and 2 million in new commitments).
  • Communicate with donors and prospects regarding planned giving to the DIA.
  • Seek out new prospects through research by collaborating with major gift officers and other colleagues, through a comprehensive planned marketing program, including survey results and other digital products.
  • Arrange twice-yearly Tannahill Teas for donors and prospects and participate in other museum cultivation and stewardship events.
  • Manage procurement of planned gift marketing services and contribute to the development of the twice yearly Planned Giving newsletter.
  • Write and send periodic email blasts to Tannahill members & prospects.
  • Maintain planned giving pages of the DIA website.
  • Cultivate and maintain relations with Tannahill donors, their families, personal representatives, counsel, etc.
  • Work with donors counsel on pending estates, manage contact and communication throughout the disbursement process. Institute and manage litigation if necessary.
  • Keep abreast of changes in tax and probate law and planned giving industry and National Association of Charitable Gift Planners (NACGP) best practices; communicate these to staff as necessary.
  • Acquire copies of estate plan instruments and/or Verification forms and other writings, to document planned gifts.
  • Ensure unrestricted planned gifts are redirected to align with museum priorities.
  • Work with prospective donors of works of art and their counsel and families, either during lifetime or through estates, serving as intermediary to curators.
  • Maintain donor records in donor management software.
  • Provide input and complete research for budget development, and complete projects and tasks within budget.
  • Work with accounting to advise external auditors of status of all outstanding and pending estate gifts.
  • Apply DIA values to interactions to support a culture of belonging among internal and external stakeholders.
  • Performs other related duties as assigned or requested.
QUALIFICATIONS

EDUCATION AND EXPERIENCE

Masters degree with a JD preferred. Seven (7) years of experience in planned giving, either through soliciting, documenting, and/or administering planned gifts, or as an estate planner for individual planned giving. Execution, and management of planned giving marketing program including recognition, education, and shepherding planned gifts of all types preferred. Work with bequests of high valued assets, including art preferred.

KNOWLEDGE, SKILLS, AND ABILITIES
  • Demonstrated experience cultivating, soliciting, documenting, closing and stewarding donor relationships to build a culture of securing six figure gifts.
  • Demonstrated managing a comprehensive planned giving marketing program.
  • Demonstrated ability to speak publicly, including presenting or sharing information in a clear, effective, and engaging manner suited to the audience.
  • Must possess a demonstrated understanding of ethical business conduct and professional practices including maintenance and protection of confidential and sensitive information.
  • Demonstrated collaboration skills to work across departments and divisions internally and with diverse stakeholders externally.
  • Experience with gift agreements, probate law, tax law, charitable giving vehicles (trusts, annuities, etc.).
  • Demonstrated experience soliciting and securing high five and six-figure gifts.
  • Demonstrated ability to share complex information, ideas, and instructions clearly, effectively, and professionally to diverse audiences through talking or writing.
  • Demonstrated organizational skills to plan, manage, prioritize, and complete multiple on-going projects to meet deadlines and goals.
  • Demonstrated history of relating and building meaningful relationships within a diverse population of current, potential donors, board members, and volunteers.
  • Sensitivity to donor relations management.
  • Empathy to needs and viewpoints of the donor and family.
  • Ability to work occasional weekend and evening hours for special events.
  • Must be able to travel independently throughout Southeast Michigan and Michigan as needed.
  • Ability to travel nationally as needed.
  • Must be proficient in the latest version of Office 365.
  • Must have proficiency in the use of remote work technology such as scheduling with, connecting to, and using digital collaboration platforms such as Microsoft Teams.
  • Must be able to establish and maintain professional, productive, and courteous interactions that promote positive teamwork. This encompasses going beyond giving and receiving instructions and includes but is not limited to (a) performing work activities requiring interacting or speaking with others; and (b) responding appropriately to constructive feedback or suggestions for improvement from a supervisor.
