Job Description:

We are seeking a detail-oriented and highly organized Highly Skilled Support Specialist to provide comprehensive support to the CEO of beBee, a leading social networking platform. This pivotal role demands a combination of focus, flexibility, and impeccable organizational skills. The successful candidate will be adept at managing a broad array of administrative duties and personal tasks, ensuring the CEO's workflow is seamless and efficient.

Key Responsibilities:

  • Coordinate and maintain the CEO's calendar, including the scheduling of appointments, meetings, and travel itineraries with attention to detail and efficiency.
  • Handle all forms of communication with discretion, including emails, phone calls, and physical mail, ensuring the CEO is promptly and accurately informed.
  • Undertake personal errands for the CEO, ranging from lifestyle management to coordinating personal events and appointments.
  • Prepare documents, briefing papers, reports, and presentations for business meetings and conferences.
  • Assist in the planning and execution of corporate events, including logistics, guest lists, and venue coordination.
  • Oversee financial tasks related to the CEO's personal and professional engagements, including monitoring expenditures and facilitating transactions.
  • Maintain utmost confidentiality regarding the professional and personal affairs of the CEO.
  • Adapt quickly to changes in priorities, demonstrating flexibility and the ability to pivot as required.

Requirements:

  • Proven track record as an Executive Assistant, preferably within a fast-paced corporate environment.
  • Exceptional organizational skills and the ability to manage multiple tasks simultaneously without compromise on quality.
  • Outstanding communication skills, both written and verbal.
  • High proficiency in Microsoft Office Suite, alongside other modern office technologies and software.
  • Demonstrated ability to handle confidential information with the highest level of discretion.
  • A proactive approach to problem-solving with strong decision-making capability.
  • Must have a valid driver’s license and personal vehicle for running errands.
  • Availability to work outside of conventional office hours when necessary.
