Administrative Assistant Job Details:
- Schedule: 8am-3pm, Monday-Friday, fully in office
Administrative Assistant Job Requirements:
- Billing and Invoicing:
- Prepare and send out invoices to clients.
- Track payments and follow up on outstanding invoices.
- Sort and code invoices accurately.
- Payroll Filing:
- Assist with the preparation and filing of payroll documents.
- Maintain accurate payroll records.
- Office Organization:
- Maintain office supplies inventory and place orders when necessary.
- Ensure the office environment is clean, organized, and well-maintained.
- Communication and Phone Management:
- Handle incoming calls and route them to the appropriate person or department.
- Manage email communications and ensure timely responses.
- Client Interaction:
- Greet and assist visitors and clients in a professional manner.
- Provide excellent customer service by addressing inquiries and resolving issues promptly.
- Documentation and Filing:
- Organize and maintain digital and physical files and records.
- Assist in the preparation and distribution of documents and reports.
- Meeting and Event Support:
- Prepare agendas, materials, and minutes for meetings.
- Assist with meeting setup, including arranging conference rooms and necessary equipment.
- Data Entry and Management:
- Enter and update data in databases and spreadsheets.
- Generate reports and summaries from data as needed.
