Role Overview

Serve as the organizational point person coordinating with internal departments to manage and support assigned meeting and incentive programs in support of the Events Operations Leadership and team.

Scope of Work

  • Serve as central point of contact for internal teams both within and outside the Events department for all travel-related components to support winners list administration, participant mailings and communications, gift inventory and organization, formatting client-facing documentation, organization of signage and on-site materials. Ensure consistency among programs within assigned campaigns for all common elements and documentation.
  • Collaborate with teams to develop effective inter-departmental processes. Help solutions process improvement and evaluate ongoing effectiveness of procedures to support best practices.
  • Author and maintain Communication Documents to provide guidelines for all client or participant emails, website verbiage, approval processes, special request formats, etc.
  • Proof websites, content and layout, production timelines, website launch dates and reports for individual program websites.
  • Create and roll-out various timelines from internal departments and ensure timeliness of all deliverables both internal and external.
  • Responsible for working with the I&R Specialist to pull program and participant portal reports and verifying accuracy of information.
  • Support Event Managers to prepare various client facing and onsite documents such as site inspection manuals, host manuals, pre-operational meeting, liability waivers, note cards, etc.
  • Manage inventory of merchandise for room gifts and commemorative gifts. Monitor final fulfillment and provide shipping and delivery updates to Director and AD.
  • Assist with invoicing, payment requests and other financial reporting requirements as needed.
  • Work at the Dayton office location a minimum of 3 days, or weekly as required.
  • Partner with the Event Manager to prepare and coordinate the assembly of program materials, including commercial invoices, for on-time shipment of program materials to designated program destinations.
  • Ability to lift, move, and assemble heavy materials.
  • Perform other duties as assigned.

Knowledge, Skills, and Abilities

  • Associate degree or equivalent combination of education and experience.
  • Two+ years’ experience in coordinator position or equivalent experience.
  • Knowledge of corporate incentives and/or meeting planning a plus.
  • Excellent oral and written communication skills.
  • Ability to effectively present information and respond to questions of individuals, groups, and clients.
  • Excellent grammar/proofreading skills and attention to detail.
  • Excellent verbal and written communication skills.
  • Advanced knowledge in Microsoft Office-Excel, Word, PowerPoint, and Outlook.
  • Ability to multitask and prioritize workload. Must work well under pressure and be able to meet deadlines.
  • Ability to establish and maintain effective working relationships with internal and external customers.
