The Office Administrator will play a vital role in our team, serving as an Office Manager and small business Bookkeeper, adept at wearing multiple hats and supporting various departments. Key responsibilities include:
- Customer Service: Answering calls and emails promptly, providing accurate information, and ensuring excellent customer service.
- Job Coordination: Monitoring emails, sending out DocuSign documents to customers, and coordinating with the production team for job execution.
- Financial Management: Acting as the QuickBooks Enterprise expert, managing all financial aspects for the company. This includes processing payments, sending receipts, invoicing customers upon project completion, and following up on past due balances.
- Administrative Tasks: Ensuring a highly organized office environment with meticulous attention to detail. Handling walk-ins and maintaining a professional presence at the front office.
Requirements:
- 4+ years of experience in an office administrative role.
- Advanced QuickBooks experience.
- Experience in plumbing, HVAC, or construction preferred but not required.
- Strong organizational skills and keen attention to detail.
- Ability to manage multiple tasks efficiently.
This role is 100% onsite at our client's office, located on the NE side of Columbus. This is a contract role, and will interview and start within 1-2 weeks.

Determining compensation for this role (and others) at Vaco depends upon a wide array of factors including but not limited to:
- the individual’s skill sets, experience and training;
- licensure and certification requirements;
- office location and other geographic considerations;
- other business and organizational needs.
With that said, as required by local law, Vaco believes that the following salary range referenced above reasonably estimates the base compensation for an individual hired into this position in geographies that require salary range disclosure. The individual may also be eligible for discretionary bonuses.
