We’re seeking an experienced Accounts Payable/Accounts Receivable (AP/AR) Specialist to join our finance team and play a vital role in managing our day-to-day financial operations.

Position Summary:
The AP/AR Specialist will be responsible for processing vendor invoices, managing payments, invoicing clients, and ensuring accurate and timely accounts receivable collections. This role requires a high level of attention to detail, organizational skills, and the ability to thrive in a fast-moving, creative industry.

Key Responsibilities:

  • Accounts Payable (AP):

  • Process and review vendor invoices, ensuring proper coding, approvals, and compliance with company policies
  • Perform 3-way matching for purchase orders, receipts, and invoices
  • Manage weekly check runs, ACH payments, and wire transfers
  • Handle vendor setups, W-9s, and maintain accurate vendor records
  • Reconcile credit card and vendor accounts, ensuring all discrepancies are resolved promptly
  • Assist with month-end AP accruals and reporting

Accounts Receivable (AR):

Generate client invoices and ensure timely deliveryMonitor AR aging and follow up on past-due accounts to ensure collectionsPost payments received via checks, ACH/wire, and credit cardsCommunicate professionally with clients to resolve billing inquiries and discrepanciesPrepare credit memos and maintain proper documentation

General Responsibilities:

Assist with account reconciliations (bank, credit card, and general ledger)Support month-end close processes for AP/ARPrepare reports, including AP/AR aging, cash flow updates, and ad hoc financial reportsCollaborate with internal departments to ensure smooth financial operations

Qualifications:

  • 3+ years of AP/AR experience, preferably in the entertainment, television, or media industry
  • Proficiency in accounting software (e.g., QuickBooks, NetSuite, or similar)
  • Strong Excel skills (pivot tables, VLOOKUPs)
  • Excellent attention to detail and ability to manage high volumes of transactions
  • Professional communication skills, with the ability to work effectively with vendors, clients, and internal teams
  • Ability to meet deadlines and prioritize tasks in a fast-paced environment
