Accounts Payable Specialist

The Accounts Payable Specialist is responsible for processing invoices, ensuring proper documentation and approval, and issuing payments to vendors and suppliers in an accurate and timely manner.

Key Responsibilities:

  • Process invoices by verifying information such as quantities, prices, account coding, and tax information.
  • Obtain proper approval for invoices according to company policies and procedures.
  • Prepare checks, ACH payments, or wire transfers for payment of approved invoices.
  • Maintain accurate and up-to-date vendor records, including contact information, payment terms, and purchase order numbers.
  • Resolve discrepancies or issues with invoices by contacting vendors or internal departments.
  • Process employee expense reports and reimbursements.
  • Reconcile accounts payable statements and records.
  • Prepare and process month-end and year-end closing entries.
  • Assist with annual audits by providing documentation and supporting records.
  • Maintain organized filing systems for paid invoices, vendor correspondence, and other accounting records.
  • Provide excellent customer service when interacting with internal and external stakeholders.

Qualifications:

  • High school diploma or equivalent; associate's or bachelor's degree in accounting, finance, or related field preferred.
  • 1-3 years of experience in accounts payable or related accounting role.
  • Strong attention to detail and accuracy.
  • Proficient in Microsoft Office applications, especially Excel.
  • Experience with accounting software or ERP systems.
  • Excellent organizational and time management skills.
  • Strong written and verbal communication abilities.
  • Ability to work independently and as part of a team.
