Overview

Join our safety-focused team as a Project Associate at Egan Company. We're seeking a detail-oriented individual to support our Safety team. In this position you'll play a critical role in record-keeping, compliance and adherence to set standards, data management, safety reporting, and training planning.

Responsibilities

The basic responsibilities of the Safety Project Associate include but are not limited to the following:

Data Management:

  • Manage the Safety Incentive Program; online catalog, vendor relationship(s), usage, policies and procedures.

  • Selection of items for updating safety incentive catalog.

  • Distribution of safety bucks, letters for monthly classes - online training (run list, make up letters, insert safety bucks, and mail).

  • Management of training; records, certificates, and licenses through Great Plains.

  • Oversee online training program including registering employees and entering training information into Great Plains.

  • First report of injury intake and coordination of process.

  • Reporting; new hires, key performance indicators, and quarterly standard reporting.

  • Recordkeeping and electronic filing (worker's compensation, training).

Coordination:

  • Safety training; agendas, training room set up, ordering food and beverages, coordinating sessions with vendors and partners, email notices to employees and managers.

  • Identify new employees that need OSHA 10 training and set up training, room schedules, notices, etc.

  • Sending out notices by email and mail from the safety department (incident review, committee meeting minutes, near miss reports, safety alerts, upcoming training).

  • Reporting and distribution of hard hats (twice monthly).

  • Order field clothing, manage inventory, distribute to employees, and track/balance with accounting.

  • Making up certificates, laminated cards, etc. and distributing.

  • Responding to requests for training, certifications, and licensing records.

Additional Support Tasks that may include:

  • Prepare presentation decks, spreadsheets, and other documents.

  • Prepare Site Safety Plans.

  • Prepare AWAIR manual revisions each year.

  • Prepare Toolbox Talks each year.

  • SDS book updates.

  • Create forms, signs, posters, banners.

  • Departmental support tasks.

  • Invoices, business group allocation and informing accounting team for payment.

  • DOT file creation, completion and training.

Requirements
  • Three to five years of administrative-related experience.
Qualifications
  • Excellent project management, content development, problem solving skills, and the ability to make mature judgments in matters related to communications efforts.

  • Ability to manage time effectively and work efficiently under tight deadlines.

  • Self-motivated, determined to support others and an attention to detail.

  • Ability to learn quickly and adapt to changing technology.

  • Excellent listening and communication skills (both verbal and written).

  • Ability to work in a fast paced, ever-changing environment.

  • Proficiency in the use of standard office computer programs such as Google Suite, Word, and Excel.

  • Knowledge of the construction industry is helpful.

  • Ability to add, subtract, multiply, and divide sufficiently to perform standard mathematical calculations.

  • Ability to foresee events and anticipate changes in conditions and operations to the greatest extent possible and reacts to these appropriately.

  • Ability to stand or sit for extended periods of time.
