Summary for Legal Executive Assistant:

This position will be responsible for providing concierge-style, high-level assistance to attorneys, which includes handling administrative tasks, travel, document management, business development, and other complex tasks and projects, while collaborating with other Firm departments and team members to ensure superior client service.

Responsibilities for Legal Executive Assistant:

  1. Develop project strategies to ensure efficient completion of tasks
  2. Coordinate complex travel requests including the procurement of visa-related materials and passport renewal applications
  3. Consult with the Firm's support departments and internal staff at all levels, verifying the accuracy of completed work
  4. Coordinate with other Firm offices, both domestic and international
  5. Assist with Department initiatives and special projects
  6. Assist with preparing materials for presentations and conferences
  7. Enter attorneys' time records and submit attorneys' expense reports
  8. Assist with calendaring and scheduling requests
  9. Organize and facilitate conference and video calls
  10. Prepare engagement letters and new matter memos for new clients and matters
  11. Assist with new-business conflicts process
  12. Assist in promoting business development, entering business activities and coordinating with Marketing department

Requirements for Legal Executive Assistant:

  1. Bachelor's Degree preferred
  2. Minimum three years of related experience in a law or professional services firm
  3. Proficiency in a second language (French, Spanish, Portuguese) a plus
  4. Proficiency with Microsoft Excel, Word, and PowerPoint
  5. Demonstrates effective interpersonal and communication skills, both verbally and in writing
  6. Ability to work independently
  7. Ability to handle sensitive matters and maintain confidentiality
