Job Title: Management Assistant
Location(s): Schiller Park, IL

We are seeking a highly organized and proactive Administrative Assistant to support a key executive at Medical Systems. The ideal candidate will manage various administrative functions, ensuring seamless operations and effective communication. This role is pivotal in optimizing Sasa's time, improving processes, and enhancing the overall experience for the team.

Responsibilities:
  • Administrative Support: Manage email and calendar , coordinate travel arrangements, prepare expense reports, and organize events. Respond and resolve internal requests promptly and efficiently.
  • Email and Communication Management: Develop and implement playbooks for processing emails on leader's behalf. Exercise excellent judgment to filter and route emails requiring attention. This involves understanding leader's voice and the company's operations.
  • Calendar Management: Collaborate to determine priorities and ideal calendar structures. Ensure the calendar accurately reflects these priorities and help team members prepare appropriate documents for meetings.
  • Expense Management: Prepare, review, and submit detailed expense reports. Ensure all expenses are accurately documented, categorized, and submitted in a timely manner according to company policies.
  • Process Optimization: Identify opportunities to enhance time management, improve processes, and optimize communication. Create better experiences for team members interfacing with you and Sasa.
  • Relationship Building: Assist in strengthening relationships with team members wide. Foster a positive work culture, making work enjoyable and engaging.
Travel Coordination:
  • Extensive Travel Management: Coordinate a high volume of travel for leader, including flights, accommodations, ground transportation, and itinerary planning. Ensure all travel arrangements align with leader's schedule and preferences.
  • Travel Support: Provide real-time support during leader's travels to address any issues that may arise, making adjustments as needed to ensure a smooth experience.
  • Logistical Planning: Anticipate travel needs by staying ahead, securing the best options for convenience, comfort, and cost. Manage all travel-related expenses.

  • Excellent written and verbal communication skills.
  • Ability to multitask and manage various projects.
