The Agency Relations Coordinator will support the mission of Feeding Southwest Virginia by developing and maintaining strong relationships with assigned agency partners in the food bank’s geographical area through systematic communication, data capture, site visits, and capacity development and review.

Work with existing agency partners and identify new agencies to ensure food insecurity needs are met. Work with Programs Team to ensure a variety of food distribution resources are available in communities served through food pantries, emergency food box programs, and on-site meal programs. Monitor compliance with roles and responsibilities set by Feeding SWVA, Feeding America, and USDA/VDACS, if applicable.

*Position Responsibility (Expected Work)*

· Demonstrate a professional demeanor in interactions with all Feeding SWVA staff, agencies, community organizations, and government officials in providing support and ensuring compliance.

· Keep informed and consistently practice the policies and procedures of Feeding Southwest Virginia and Feeding America national office regarding compliance.

· Possess knowledge of Feeding Southwest Virginia and all programs.

· The Agency Relations Coordinator reports directly to the Director of Agency Partnerships and is responsible in supporting the Program’s Department.

· Obtain approval and adhere to a mutually agreeable work schedule.

· Provides referrals to neighbors needing food assistance.

· Seek, recruit, and develop new agency partners utilizing food insecurity data to identify high need areas.

o Provide information about Feeding SWVA and review eligibility of becoming an agency partner.

o Refer potential partner to Children or Senior Feeding Programs if appropriate.

o Conduct orientation, initial site monitor, and necessary training to ensure the new agency partner understands their roles and responsibilities.

· Strengthen relationships between Agency Partner and Feeding SWVA.

o Communicate often to understand the agency's needs and challenges.

o Assist during food-distributions, with agency approval.

o Nominate the appropriate agencies for capacity-building opportunities that become available.

o Assist in planning and coordinating the annual agency conference.

· Ensure agency compliance with Feeding SWVA

o Manage and monitor agencies in assigned service areas for performance and compliance.

o Ensure required reports are timely, complete, and accurate.

o Update and maintain partner forms, certifications, and training materials.

· Ensure agency compliance with Feeding SWVA, VDACS, and USDA if distributing TEFAP commodities.

o Monitor agency sites for compliance with TEFAP distribution to validate the quantity of product allotted.

o Provide annual training on TEFAP regulations, policies, contractual requirements, and civil rights laws.

· Maintain agency partner files to ensure compliance with Feeding America and Government organizations.

o Ensure all appropriate documents are organized in each agency file.

o Conduct periodic internal reviews against files to ensure completeness and accuracy.

o Compile and enter monthly report data.

o Pull required files for review as needed by organizations performing audits.

· Maintain and follow effective processes for office communications and administrative procedures.

· Support Feeding SWVA special events, training, education, and capacity building activities as assigned.

· Associate degree or equivalent combination of education and/or two years’ experience in a related field required.

* The ability to develop and maintain productive working relationships with staff and from all areas of the organization is necessary.
* Limited occasional evening and weekend work required for special events.

*Language Skills:*
* Must have excellent written and verbal communication skills and demonstrated ability to communicate effectively and convey concepts in an understandable way.
* Ability to communicate effectively with staff, volunteers, children and other professionals.

*Technical/Computer Skills*_*:*_
* Proficiency required in the use of Microsoft Office Word, Excel and Outlook Software.
* Capable of learning and independently operating equipment required for the position including printer, multi-use copier, fax, and postage machine and phone system.

* Ability to work with people of diverse backgrounds.
* Must be reliable and dependable.

Valid Driver’s License and own transportation to work required. Maintain a safe driving record in driving company vehicles.

*Flexibility:*

· Be willing to work overtime and mandatory days set forth by the organization on short notice.

· Be willing to work flexible coverage as needed.
