The Office Services Assistant (Finance) performs various office support duties in the Finance Department. The position is responsible for processing and reconciling various treasury transactions. The incumbent maintains departmental records, files, databases and generates reports and information for department processes.

Assists with maintaining an efficient flow of administrative and office support processes, including word processing, data bases, spreadsheets, filing, copying, collating, and mailings.
Responsible for the review and coding of daily cash activity for entry, importing payment lockbox files, reconciling daily cash, preparing daily bank deposit, and transporting deposit to bank.
Reconciles electronic payment activity, including credit cards, into the City bank account.
Reconciles the City cash fund and disbursement of change to departments handling cash and assist with cash audits throughout the City.
Assists with collection and reconciliation of delinquent personal property taxes, including mailing of delinquent notices.
Processes receipts for taxes, utilities, licenses, permits, fines, and fees.
Maintains Finance portion of City website.
Processes purchase orders and invoices for the department, as well as Citywide to be charged to restricted accounts.
Assists with preparation, compilation, and calculation of department payroll and maintenance of employee leave records.
Oversees bankruptcy case management and the filing of claims affecting City collections.
Reviews and reconciles various revenue accounts for accuracy including ambulance fees, room taxes, and dog licenses. Assists with month-end investment activity reports.
Audits required forms and records for completeness and accuracy. Types and edits staff correspondence.
Assists with tracking and preparation of Finance departmental budget.
Assists with the overall City budget process including, scheduling meetings, tracking distribution and return of preparation documents, input of data, compilation and distribution of various documents.
Assists in the preparation and distribution of financial reports for publication including quarterly financial reports, Annual Comprehensive Financial Report (ACFR) and budget.
Assists with risk management claims activity and maintenance of fleet records.
Troubleshoots equipment problems, including copy machine, computers, and fax machine.
Orders materials and supplies for the Department and maintains inventory.
Chooses methods and work procedures that are cost effective in nature, while maintaining a high quality of services.

A minimum of two (2) years of administrative, secretarial, and office support experience, preferably in the public sector.
A minimum of two (2) years of customer service experience.
Proficiency in computer software programs, including spreadsheets, word processing and databases.
Equivalent combinations of training and experience will be considered.

44 per hour with benefits.
