A life sciences consulting agency in La Costa, CA is searching for an organized and tech-savvy Administrative Assistant to support the company s owner You will be responsible for managing a busy calendar, coordinating appointments, and ensuring day-to-day operations run smoothly, overall. They are looking for proactive candidates with experience supporting executives who can multi-task well and adapt to changing priorities quickly. You will be working out of a small office in a residential area and benefit from growth opportunities and full benefits package
Administrative Assistant Requirements:
Bachelor's degree required
2-3 years of experience supporting an executive, including calendar management and delegate access
Proficiency in Microsoft Outlook, particularly delegate access features
Solid technical skills and proficiency in Microsoft Office (especially Excel formulas)
Familiarity with ToDoits app, SmartSheet, TripIt, Gusto, and DocuSign is preferred
Experience with class agency work or life sciences consultancy is preferred
Administrative Assistant Responsibilities:
Sync multiple calendars, manage travel schedules, and assist with travel bookings
Utilize tools like Excel, ToDoits, SmartSheet, TripIt, Gusto, and DocuSign
Handle other administrative duties, such as drafting correspondence and reconfirming appointments
Medical, Dental and Vision insurance
Vacation, Sick days and Standard holidays
