Job Description: We are seeking an experienced Executive/Personal Assistant to provide high-level support to two Managing Partners within our organization. This role is crucial in ensuring the seamless operation of our executives' schedules, projects, and communications. 


Responsibilities: 

  1. Calendar Management: Efficiently manage the Managing Partners' calendars, scheduling meetings, appointments, and travel arrangements. 
  2. Communication Liaison: Act as the primary point of contact between the Managing Partners and internal/external stakeholders, handling emails, phone calls, and correspondence with professionalism and discretion. 
  3. Project Coordination: Assist in coordinating and tracking various projects, ensuring deadlines are met and priorities are aligned. 
  4. Office Management: Oversee the day-to-day operations of the office, including maintaining office supplies, equipment, and facilities. 
  5. Document Management: Organize and maintain important documents, files, and records, both in physical and digital formats. 
  6. Travel Arrangements: Arrange travel logistics including flights, accommodations, and transportation for the Managing Partners and their families. 
  7. Expense Management: Handle expense reports and reimbursements accurately and in a timely manner. 
  8. Event Coordination: Assist in planning and coordinating company events, meetings, and functions as needed. 
  9. Personal Assistance: Provide personal assistance to the Managing Partners as needed, including but not limited to errands, personal appointments, and household management tasks. 
  10. Special Projects: Assist with ad-hoc projects and assignments as requested by the Managing Partners. 


Requirements: 

  1. Bachelor's degree required. 
  2. Has a car and is willing to drive.  
  3. Proven experience as an Executive Assistant or similar role, preferably supporting C-level executives or business owners. 
  4. Strong organizational and time-management skills with the ability to prioritize tasks effectively. 
  5. Exceptional communication skills, both written and verbal, with a high level of professionalism and discretion. 
  6. Proficiency in Microsoft Office Suite and other relevant software applications. 
  7. Ability to maintain confidentiality and handle sensitive information with integrity. 
  8. Detail-oriented with a proactive approach to problem-solving. 
  9. Flexibility to adapt to changing priorities and work in a fast-paced environment. 
  10. Previous experience in the real estate industry is a plus but not required.
