Our business consulting client in Los Angeles is looking to add a dynamic, proactive, and self motivated Office Coordinator to join their rapidly growing team. Hours: Monday-Friday 8am-5pm
Schedule: on-site
Opportunity: contract
Pay: $28-$30/hour
Location: Los Angeles, CA
Job Duties:
Office Coordination:
- Serve as Office Coordinator handling day-to-day facility needs.
- Coordinate visitor interactions, greeting and providing assistance, and serving as Interview Greeter.
- Manage incoming calls.
- Disseminate office-wide announcements and property management communications.
- Handle conference room reservations.
- Manage facility and office equipment maintenance, including coordination with property management and scheduling vendor visits.
Security & Safety:
- Issue access fobs/badges to new hires and terminate access for off-boarded employees.
- Manage temporary badges and serve as Fire Warden.
IT Service Needs:
- Maintain inventory of IT equipment and peripherals, communicating with HR/IT regarding on/offboarding.
- Apply common IT resolutions to technical issues and prepare FedEx labels for laptop returns.
Mail and Package Handling:
- Process incoming and outgoing domestic and international mail and packages.
- Coordinate outgoing courier packages and schedule pickups.
General Office Administrative Support:
- Maintain cleanliness and organization of kitchen, copy/printing area, and office supplies.
- Assist with food catering for meetings/events and manage inventory of office supplies.
- Administer office expenses and invoice processing.
- Coordinate employee parking and parking validation for visitors.
- Update floor plans and space allocations quarterly and maintain local office instructional documents.
- Provide general support tasks such as faxing, copying/scanning.
- Manage/update content on SharePoint
New Hire Set Up:
- Welcome new hires via email with office-related information and coordinate security access and parking.
- Arrange on-site new hire photo shoots and confirm seating arrangements.
Qualifications:
• Preferably 5+ years of experience in a corporate office environment in a similar capacity.
• Possess an entrepreneurial mindset, coupled with critical thinking skills and a high level of emotional intelligence.
• Capable of effectively engaging with clients, vendors, and colleagues.
• Exceptional verbal and written communication skills, including proficiency in grammar and etiquette.
• Proficient in computer usage and calendar management, with familiarity in Microsoft Office (Outlook, Word, Excel, PowerPoint), Adobe Acrobat Pro, and other relevant software.
• Highly organized and detail-oriented, with a strong commitment to follow-through.
• Ability to tackle problems creatively, manage multiple tasks, and adapt to interruptions.
• Adherence to business professional attire standards.
