We are seeking an experienced Administrative Professional to join our team and provide comprehensive support in payroll and human resources functions. The ideal candidate will be detail-oriented, organized, and proficient in managing various administrative tasks efficiently.


Responsibilities:

  • Review, Submit, and Edit Invoices: Manage the biweekly and monthly invoicing process by reviewing, submitting, and editing invoices as necessary. Ensure accuracy and adherence to company policies and procedures.
  • Approve Timesheets and Expenses: Review and approve weekly timesheets and expense reports in a timely manner. Verify the authenticity of expenses and ensure compliance with company policies.
  • Track Hours and Expenses: Maintain record of weekly hours and expenses across projects to facilitate accurate financial tracking and ensure adequate funding allocation.
  • Generate Reports: Prepare and distribute comprehensive weekly and monthly reports to contractors, summarizing project expenses, hours worked, and other relevant project data.
  • Invoice Cross-Checking: Conduct monthly cross-checks of invoices in the accounting system to identify discrepancies, rectify errors, and ensure financial accuracy.
  • Resume Formatting: Format candidate resumes professionally and appropriately for submission to hiring managers. Ensure consistency and clarity in presentation.
  • Job Posting Management: Create and monitor job postings across various platforms to attract potential candidates. Keep track of active candidates and update job postings as necessary.
  • Communication with Hiring Managers: Liaise with hiring managers to understand their staffing needs, coordinate recruitment efforts, and provide administrative support throughout the hiring process.


Qualifications

  • Proven experience in administrative roles, preferably in finance or human resources.
  • Strong proficiency in Microsoft Office Suite, particularly Excel and Word.
  • Excellent organizational skills with the ability to prioritize tasks effectively.
  • Exceptional attention to detail and accuracy.
  • Excellent communication and interpersonal skills.
