JOB SUMMARY AND QUALIFICATIONS:

The External Relations Manager supports Volunteers of America Mid-State’s mission by handling the External Relations Directors’ daily/weekly planner, communicating to external constituents on behalf of the directors, managing event and other marketing materials, and providing other administrative support as needed for the External Relations Senior Directors.  This role will oversee event coordination, fund development activities, marketing support, and volunteer recruitment, retention, and recognition. The manager will also serve as a liaison between the External Relations department and the Office of the President. This position is for someone who is creative, adaptable, and enjoys working collaboratively in a team setting, and is a proactive individual with a passion for organizational excellence and a knack for creative tools. 

WHAT YOU SHOULD HAVE FOR THIS ROLE:
We prefer candidates with a Bachelor's degree in a related field or at least 2-4 years of experience in an office administrative role, demonstrating a strong track record in customer service. The ideal candidate should excel in planning, organizing, and managing resources to achieve specific goals within set timeframes. A proven ability to work collaboratively with a diverse range of internal and external stakeholders is essential. High-level proficiency in Microsoft Office is required, and experience with social media and content creation is highly valued. Familiarity with Canva is preferred, and experience with the Adobe Suite is considered a plus. 

RESPONSIBILITIES:

Coordination and execution of department responsibilities

• Coordinate fund development activities including program tours and other fund development events.

• Represent Volunteers of America at donor events, as needed.

• Coordinate grant administration as needed.

• Help with research for Business Development as needed.

• Other duties as assigned.

Administrative Support

• Maintain departmental and departmental directors’ calendars as needed

• Prepare expense reports for department senior directors and the VP

• Assist in coordinating the agenda of the ER quarterly meetings and other outings as needed

• Assist in coordinating departmental and organizational mailings

• Assist the Assoc. Director of Board and Executive Relations with Board of Directors meetings and helping to staff the ER Committee

Volunteer Management

• Develop and manage the volunteer recruitment, retention, and recognition strategy in alignment with VOA’s mission and goals.

• Serve as the primary point of contact for volunteers, providing orientation, training, and ongoing support.

• Collaborate with program directors and staff to identify volunteer needs and create meaningful volunteer opportunities.

• Track and report volunteer engagement metrics and impact.

Marketing Support

• Create social media graphics and post for all of VOA’s social media channels; including creating graphics, short-form videos, content and schedules, and working with Senior Manager of Multi-Media Communications to boost engagement and overall reach of platforms. 

Liaison Duties

• Act as the primary point of contact between the External Relations department a

• Keep the External Relations department informed about the President's initiatives, activities, and priorities in collaboration with the Executive Coordinator to keep the department informed and action items needed from the department
