POSITION OVERVIEW


Interested in joining our team? We are currently seeking a highly motivated office staff member to join our administrative department on a part-time basis. This role requires being available to work Monday Wednesday and Friday mornings in our wellness clinic. Additional hours are an available option to discuss.


****This position also offers access to all of our services from our sought after Massage Therapists, Chiropractor. This benefit is a popular incentive to joining our family****


MISSION


As a member of our front desk team, your mission is to proactively manage client transactions and correspondences, handle daily closeouts, ensure client retention, and resolve any issues that may arise. You'll also contribute to maintaining a fun and clean environment through minor housekeeping tasks. The most critical role of our office staff is to efficiently and accurately complete administrative tasks and projects while maintaining confidentiality, flexibility, and a positive attitude, all in support of our community standards and culture.


RESPONSIBILITIES


As the Front Desk and Ambassador, your primary responsibilities will include:


- Recording meeting minutes, note-taking, and distributing action items.

- Effective internal and external communication aligned with our values.

- Engaging with clients through email communications.

- Utilizing efficient systems to improve communication among team members and clients.

- Attending team meetings and participating in social outings.

- Calendar management, scheduling clients, classes, and events.

- Assisting with light project management and event coordination.

- Providing weekly reports on behalf of the Administrative Team.

- Offering resourceful solutions to day-to-day operational needs.

- Prospecting for both B2B and B2C opportunities.

- Acting as an ambassador for KLynergy, promoting our services in exchange for use of services***

- Assisting in content creation initiatives.


PROFICIENCIES


To excel in this role, you should possess the following proficiencies:


Effective Communication:

Demonstrate excellent written and oral communication skills, including strong spelling, grammar, and punctuation. You should be able to summarize large amounts of information quickly and accurately in written and verbal formats. Additionally, you should be responsive and able to track communication across various channels such as in-person meetings, text messages, and emails.


Tech Savviness:

Be comfortable with technology and willing to learn new software systems, including our scheduling software. Proficiency in tech platforms such as Quickbooks, Excel, Zoom, Google Suite, Slack, Canva, Microsoft Office Suite, Wix, and Mindbody is ideal.
