Legal Assistant for Top Law Firm

Our client, a top law firm, is seeking a temporary Legal Assistant (insurance defense) to support their team. This individual must excel at managing court filings, proofreading and editing documents, and calendaring/managing court appearances. Also, the individual MUST have experience with e-filing in state and federal court to be considered for this role. The ability to come into the Miami office a couple times per week is preferred.


Responsibilities Include

· Provide administrative support to Partner and team of litigation associates

· File briefs and other documents with various federal, state, and appellate court

· Preparing shell documents (pleadings, discovery, motions, correspondence)

· Proofreading, formatting, and finalizing all outgoing documents (including TOA and TOC)

· Preparing document production (encrypting media, drafting transmittal letters, logging Bates numbers)

· Preparing exhibits for depositions and trials

· Preparing notebooks of documents for attorney use, sometimes in collaboration with a paralegal

· Run conflicts checks for new client matters using InTapp Open

· Convert documents to pdf, edit pdfs, and combine/delete pages of pdfs using Nuance

· Maintain electronic files for client matters

· Assist with travel arrangements upon request including car, hotel, and airfare reservations

· Oversee arrangements for in-house and external depositions, including booking court reporters

· Enter and track attorney CLE through Micron, and submit requests for CLE credit to various state bars

· Set up conference calls and arrange meetings, including sending calendar invitations

· Liaise with IT to set up video conferencing for scheduled meetings

· Assist with ad hoc projects as necessary

· Search matter files on FileSite for documents and information

· Open incoming mail, review, and handle

· Run data reports from Elite 3E

· Calendar deadlines

· Prepare and process expense reports for office, attorneys, and business development department

· Prepare and process business credit card expense reports

· Liaise between attorneys and the firm's broader support staff to resolve specific issues or queries

· Liaise with, and point of contact for, Accounts Payable, Accounts Receivable, Billing, and Human Resources on various matters

· Filing and organization of paper files, which includes preparing paper files to be sent offsite to records department


Requirements

· At least 5 years of litigation experience in a law firm setting

· B.A./B.S. degree preferred

· Superior organizational and communication skills

· Strong attention to detail

· Impressive command of grammar and punctuation

· Ability to interact with clients and all levels of employees within the firm

· State and Federal E-filing experience a must

· Litigation experience a must

· Trial experience a plus

· Relativity experience a plus

· Advanced user of Microsoft Word, Excel, PowerPoint, and Adobe Acrobat/Nuance

· Familiarity with FileSite, iManage, or equivalent document management system

· Performs well under pressure

· Ability to work independently with minimal supervision

· Ability and willingness to support multiple attorneys in a fast-paced environment and prioritize appropriately

· Additional experience as a paralegal or case clerk a plus

· Notary Public certification or willingness to obtain certification a plus

· Flexibility in schedule and willingness to work overtime as required

· Positive attitude and team spirit a plus
