The Office Manager is pivotal in maintaining a productive and organized work environment.
Key Responsibilities:
- Oversee the day-to-day administrative operations of the law firm, ensuring efficient workflow and adherence to firm policies.
- Manage office staff, including paralegals, legal assistants, and administrative personnel, ensuring tasks are completed accurately and on time.
- Ensure client files are properly managed and maintained, especially those related to pre-injury claims, ensuring confidentiality and compliance with legal requirements.
- Coordinate with attorneys to ensure proper case management, including the tracking of deadlines, court dates, and documentation needs.
- Monitor and maintain office equipment, supplies, and legal software systems.
- Assist in the preparation and submission of legal documents related to pre-injury cases, including intake forms, insurance claims, and other client documentation.
- Develop and implement office policies and procedures to improve efficiency and ensure compliance with legal standards.
- Handle client inquiries and maintain client relations, ensuring a positive and professional experience.
- Manage office budgets, invoicing, and expenses to support financial goals.
- Ensure compliance with local, state, and federal regulations that pertain to law office management and client representation.
- Assist in staff recruitment, onboarding, and ongoing training and development.
Qualifications:
- Bachelor’s degree in business administration, legal studies, or related field.
- 4+ years of experience as an office manager in a law firm, preferably in the personal injury or pre-injury space.
- Strong understanding of law firm operations, including legal filing, documentation, and compliance requirements.
- Excellent organizational and leadership skills, with the ability to manage multiple tasks and staff members simultaneously.
- Proficiency in legal software (e.g., Clio, MyCase) and Microsoft Office Suite.
- Strong communication skills, both written and verbal, with the ability to interact professionally with clients, attorneys, and staff.
- Experience managing budgets, office expenses, and vendor relations.
- Detail-oriented, with the ability to maintain confidentiality and professionalism in a legal setting.
