POSITION SUMMARY: The Patient Access Manager will supervise and oversee the day-to-day operations of the Patient Access Center and its Representatives. This role will be responsible for planning, organizing, directing and evaluating all activities related to the efficient delivery of patient appointment scheduling, visit prep, and navigation through their experience with CareSTL Health. This position has responsibility for demonstrating the core values of CareSTL Health: Customer Service, Community, Commitment, Compassion, and Competence.


ESSENTIAL FUNCTIONS:

The following information is considered the definition of essential functions but does not restrict the tasks that may be assigned. The Patient Access Manager may be reassigned duties and responsibilities at any time due to reasonable accommodation or other staffing reasons. Other duties may be assigned.


  • Oversees the daily operations of the Patient Access Center to include problem solving, providing leadership, maintaining departmental Standard Operating Procedures and producing reports to monitor efficiency/productivity
  • Monitor team performance to ensure call quality, reduce appointment errors, excellent customer service, and ensure the patient access team is complying with all policies and procedures as outlined in the Employee Handbook, HIPAA, OSHA and other organizational guidelines
  • Develop short-term and long-term strategies for the Patient Access Center to promote achieving department and organizational goals and creating workflows that reduce the patient no-show rate
  • Assistance with creating the provider schedules across all five CareSTL Health sites and the four School Based Health Sites.
  • Coordinates departmental reporting activities and maintains department scorecard to assess call quality

OTHER FUNCTIONS:

  • Hire, train, monitor, coach, and mentor the Patient Access Team.
  • Create a quality orientation program to effectively onboard new staff
  • Meet regularly with the Patient Access Center Staff and participate in quarterly meetings
  • Creates/updates scripts as needed for the Call Center staff
  • Develop policies and protocols for the department
  • Maintains current level of job-related skills by attending meetings and training sessions
  • Responsible for annual staff evaluations, monthly 1:1 in order to promote professional development for the Patient Access Team

JOB REQUIREMENTS AND QUALIFICATIONS:

Education:

  • High School Diploma or GED
  • Bachelor's Degree Preferred

Experience:

  • Minimum 3 years of experience working in a clinical environment
  • Minimum 3 years supervisory experience



Transportation Requirement:

  • Must have reliable transportation

Supervisory Responsibility:

  • Patient Access Representatives

Additional Eligibility Qualifications (licenses, programs, certificates, pre-employment check and post and annual screening(s).

  • Copy of High School Diploma/GED
  • Copy of Bachelor's Degree or Official Transcripts if applicable
  • Current Registration with the Missouri Family Care Safety Registry
  • Annual PPD or Chest X-Ray
