Job Title: Front Desk Representative

Job Summary: We are looking for a friendly, organized, and professional Front Desk Representative to join our team. The ideal candidate will be the first point of contact for our guests, providing exceptional customer service and administrative support. As a Front Desk Representative, you will greet visitors, handle inquiries, manage reservations, and ensure a smooth flow of operations at the front desk. Your goal is to ensure that all clients and guests have a positive experience while maintaining the efficiency of daily operations.

Key Responsibilities:

  • Greet and welcome guests upon arrival, creating a positive first impression.
  • Answer, screen, and direct phone calls in a courteous and professional manner.
  • Manage the check-in and check-out process for clients or guests.
  • Respond to customer inquiries and provide accurate information regarding services, availability, and company policies.
  • Handle incoming and outgoing mail, packages, and deliveries.
  • Keep records of visitor logs, appointments, and other important documents.
  • Assist in administrative tasks, such as data entry, filing, and correspondence.
  • Resolve customer complaints or refer them to the appropriate department for resolution.
  • Maintain knowledge of company products, services, and promotions to assist guests effectively.
  • Uphold security protocols by monitoring access to the premises and ensuring safety procedures are followed.
  • Provide support to other departments as needed.

Qualifications:

  • High school diploma or equivalent (Associate's degree in related field preferred).
  • Strong communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with office equipment (e.g., printers, copiers).
  • Ability to multi-task, prioritize, and work under pressure in a fast-paced environment.
  • Exceptional organizational skills and attention to detail.
  • Customer service-oriented with a welcoming and professional demeanor.
  • Ability to work independently as well as in a team.
