Job Summary:

We are seeking a friendly, professional, and customer-oriented Front Desk Representative to join our team. In this role, you will be the first point of contact for clients, guests, and visitors, providing excellent service and support. The ideal candidate will be organized, efficient, and possess outstanding communication skills, ensuring a smooth flow of operations at the front desk.

Key Responsibilities:
  • Greet and welcome guests: Warmly greet all visitors, clients, and staff members, ensuring they feel welcome and are directed to the appropriate department or person.
  • Answer and route calls: Efficiently manage a multi-line phone system, directing calls to the correct department or individual and handling inquiries professionally.
  • Manage appointments: Schedule, confirm, and manage appointments for clients and staff, ensuring accurate timekeeping and communication.
  • Receive and distribute mail: Handle incoming mail, packages, and deliveries, and distribute them to the relevant individuals or departments.
  • Handle administrative tasks: Assist with data entry, filing, and basic administrative duties as required.
  • Provide information: Respond to inquiries regarding services, directions, and other general questions, either in person or via phone/email.
  • Monitor security protocols: Ensure all visitors sign in and are properly escorted, and manage any security concerns or breaches.
  • Support office staff: Provide additional support to office staff with tasks such as copying, printing, and preparing documents.
Requirements:
  • High school diploma or equivalent.
  • Excellent verbal and written communication skills.
  • Strong organizational and multitasking abilities.
  • Proficiency in using office software (MS Office Suite) and phone systems.
  • Ability to remain calm and professional in high-pressure situations.
  • Customer service orientation with a positive attitude.
