ABOUT THE ROLE:

This position serves as El Programa Hispano Católico's (EPHC) first point of contact for community members seeking services or support. This person refers community members to the appropriate EPHC department and/or other agencies in the community. The position will manage the EPHC front desk on a daily basis and perform a variety of administrative tasks.

ESSENTIAL DUTIES:

  • Answer the main telephone line and route calls appropriately.
  • Provide Information and Referral Assistance to Spanish and non-Spanish-speaking community members.
  • Greet participants and guests in person and over the phone.
  • Reply to email inquiries, both internal and external, in a timely manner.
  • Maintain up-to-date phone directories, reception manuals, and referral lists.
  • Print staff badges, check-in/out the projector, and guest badges.
  • Coordinate the scheduling of conference rooms.
  • Order office supplies and process incoming mail.
  • Perform data entry in Salesforce and other databases as assigned.
  • Responsible for opening and closing the EPHC office.
  • Maintain the Reception area clean and organized.
  • Work schedule: Monday-Friday, 8:15 AM to 5:00 PM.
  • Adherence to El Programa Hispano Católico policies and procedures.
  • Participate in team projects, including team, agency, program, and partner meetings.
  • Perform other duties and responsibilities as assigned.

QUALIFICATIONS AND REQUIREMENTS:

  • Must be bilingual (Spanish/English) and bi-culturally competent.
  • High School degree or one year of field experience.
  • Minimum of one year of demonstrated success as a receptionist or Administrative Assistant, preferably in a non-profit social service environment.
  • Strong computer skills with demonstrated proficiency (intermediate to advanced) in Microsoft Word, Excel, Outlook, PowerPoint, and Publisher.
  • Knowledge of community resources is strongly preferred.
  • Knowledge of effective reception and customer service practices and experience in operating multi-line phones.
  • Ability to work with the public; greet participants in a friendly, culturally responsive way and respond compassionately to people in crisis.
  • Embody values of cultural humility and servant leadership and demonstrate cultural responsiveness across cultures.
  • Strong attention to detail.
  • Self-motivation and the ability to work independently with strong analytical and problem-solving skills.
  • Must be able to organize and prioritize work, be proactive, take initiative, resolve problems, follow through, and simultaneously manage multiple priorities to meet deadlines.
  • Demonstrate judgment and discretion in dealing with confidential matters.
  • Ability to work with creativity and flexibility in a changing organization. Ability to support organization and program-specific mission and goals.
  • Ability to lift up to 40 pounds.
  • Satisfactory results from criminal, civil or motor vehicle background check required.

COMPENSATION: The starting pay rate is $20.00 /hr., DOE

LOCATION & TYPICAL WORKING CONDITIONS: This is an on-site position at EPHC's offices in Gresham, OR. Depending on project deadlines, job duties may require occasional travel and evening and weekend work.
