Job Summary

Mt. Hood Community College is seeking a highly organized and detail-oriented Administrative Assistant II to provide administrative support to the Adult Basic Skills division. The successful candidate will serve as the receptionist, providing general information and assistance to students, faculty, staff, and the public.

Key Responsibilities
  • Act as the receptionist, responding to requests for information in person, by phone, and via email.
  • Provide information on division and program policies and procedures, escalating questions to the appropriate personnel as necessary.
  • Assist students with program questions, referrals to other areas, assessment appointments, and faculty appointments.
  • Perform a variety of clerical tasks in support of the division, including organizing calendars and faculty rosters, sending and receiving mail, and providing support for departmental meetings and agendas.
  • Maintain and update division webpages.
  • Organize course materials, purchase textbooks and graphics orders, and ensure courses have assigned books in the online bookstore.
  • Proctor CASAS testing.
  • Call and schedule substitute teachers from a pre-approved list when faculty call in sick.
  • Support the departmental hiring process by scheduling interviews and submitting onboarding and cross-boarding requests as directed.
  • Purchase and track expenses and inventory for supplies and instructional materials.
  • Collect information such as faculty syllabi and office hours for ABS programs.
  • Track equipment failure information and submit work orders as necessary.
  • Set up annual staff mileage documentation (ABAMS).
  • Assist with and participate in student assessment, intake, orientation, placement, and registration activities each term.
Requirements
  • High School Diploma or GED.
  • At least one year of related administrative and/or clerical work experience.
  • Bilingual skills in Spanish, Vietnamese, Russian, Ukrainian, Haitian/Creole/French, or Arabic.
  • Proficiency utilizing Microsoft Word, Excel, and Outlook.
  • Experience working with diverse populations.
