Donor Family Services Assistant:
Assists with all aspects of the Donor Family AftercareProgram. This includes clerical support, event planning, maintaining anddistributing current resource materials, research regarding Donor Familyconcerns and ongoing interactions between donor families and recipients.
Essential Duties:
1.Generates donor family follow up letters for eye andtissue donors. Obtains accurate information from DNA database and records—oftenrequires extensive research utilizing DNA recovery staff and medical records.Communicates to donor family in timely manner. Able to handle direct contactwith donor family with compassion and understanding of bereavement needs.Assesses which situations require supervisor’s attention.
2. Maintains and updates donor family database.
Tracks, and documents all donor family letters and follow up activity fororgan, eye and tissue donors.
Reviews and updates database to ensure accuracy.
Utilizes multiple DNA databases efficiently and increases working knowledge ofdatabase as job requires.
Updates Donor Family Services database design as necessary.

3. Ensures accuracy of donor records by working with recovery staff
Communicates in a timely and appropriate manner with members of DNA recovery staff
Identifies and investigates problems utilizing recovery staff and medicalrecords
Apprises supervisor and recovery staff of donor record problems, errors, andinconsistencies
Reports trends and problematic patterns to supervisor

4. Sends out grief support materials.
Responsible for one-week turn-around for grief support material requests.
Maintains supply of grief support materials, including pamphlets, newsletters,lists of community resources, and mailing supplies. Updates monthly.
Coordinates with DNA Volunteer as required.
Establishes and maintains relationships with community agencies as needed.

5. Compiles and reviews survey data.
Enters survey responses into database. Tallies results and distributes tosupervisor on monthly basis.
Notifies supervisor of responses requiring action
Responds to routine requests from Donor Families with appropriate contact,including phone calls, letters and mailing requested materials

6. Assists with donor family-recipient correspondences.
Researches recipient information
Completes face sheets

7. Handles all requests for recipient updates.
Responds to Donor family requests in a timely manner
Maintains correspondences file
Maintains recipient data base
Works with recovery staff, medical records and transplant centers to maintainaccurate recipient information
Develops and maintains relationships with transplant center staff as needed
Maintains recipient update records
Coordinates with other OPO’s to facilitate recipient updates for importedorgans

8. Assists with special projects as required.
Provides clerical support to Donor Family Services Coordinator as requested
Assists with the Donor Family Gathering, State Donor Recognition Ceremony,Quilt Pinning Ceremonies, and other Donor Program Development events.
Manage mailings and donor family information for special events
Assist with production of printed materials and presentations.
Qualifications:
Minimum Education
High School; some college or relevant life experiencepreferred

Preferred Experience
Administrative assistance in health care or human service setting

Minimum Experience
2 ‑ 3 Years
