SUMMARY: The Plant Office Administrator is responsible for all office related activities, assist Human Resources and other administrative functions important to the day-to-day operations of the facility. ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned. • Analyze and organize office operations and revise procedures to provide for the most efficient work flow. • Coordinate collection, organization and maintenance of all required plant human resources related documentation including personnel files, employee communication and recruiting functions. Conduct audits as needed.• Maintain corporate policy for systematic retention, protections, retrieval, transfer and disposal of records. • Assist with recruitment including scheduling of interviews and perform employee orientation. • Answer incoming phone calls, take messages, and forward callers to appropriate person. • Greet visitors and advise them of our procedures (sign in/out, ppe, safety protocols, food safety procedures and security). • Assist delivery drivers with check-in process.• Ability to work tactfully, harmoniously and effectively with co-workers, management, customers, vendors, contractors and/or visitors. • Keep others informed of important information in a timely manner. Communicate unusual problems, delays, to the appropriate individuals in a timely manner. • Maintain update to date Transfer and Sales Orders.• Maintain office supplies (inventory and order) • Prepare purchase order requisitions.• Weekly payroll processing in a timely and accurate manner.• Handle incoming and outgoing mail.• Responsible for food product quality and safety. EDUCATION:• High school diploma or G.E.D. equivalent, required. • Associate Degree preferred.• Bachelor’s Degree is a plus EXPERIENCE AND QUALIFICATIONS: • 3 - 5 years administrative experience, required. • Excellent verbal, written, listening and math skills, required. • Ability to analyze various reports and prepare recommendations based on sound analytical data. • Excellent organizational skills required, with the ability to multi-task. • Show good judgment and sound reasoning skills. • Ability to operate PC, with excellent Microsoft Office Word, Power Point, and Excel skills. • Ability to operate standard office equipment. • Ability to work with others well in a team environment. • Ability to adapt to changing business needs and deadlines on short notice.• When in the production building, ability to work in extreme temperatures, exposure to dust, gases, fumes, noise and chemicals.• Ability to lift and move up to 50 pounds with or without reasonable accommodation is preferred.
