Job Description

Full Time - Day Shift (40 hours per week)

7am - 3:30 pm

Easton, Maryland

JOB SUMMARY:

Coordinates the acquisition and maintenance of the established inventories for Surgical and Ambulatory Services including the processes of cycle counting and facilitation of the annual inventory assessment. Is the expert on the INFOR system and assumes responsibility for communicating Surgical and Ambulatory Services materials management issues with stakeholders across the system.

ESSENTIAL FUNCTIONS OF THE JOB:

  1. Coordinates purchase of stock and non-stock items for departments and inventories as assigned.
  2. Creates requisitions for Bill Only items and manages the Galleon process to assure contract compliance.  Verifies pricing for Bill only items and advises the Posting/Billing office to assure accurate patient charging.
  3. Performs Service Contracts for all service invoices.  Is responsible for verifying accuracy of invoices and the investigation as well as resolution of any discrepancies.
  4. Manages equipment control program for instrumentation and equipment not covered by Biomed. Responsible for arranging the repair, obtaining loaners as needed and identifying trends related to repairs.
  5. Manages the day-to-day control of all consignment inventory for designated locations to include routine audits and replacement of items as used.
  6. Directs proper care and storage of supplies and equipment used for patient care.
  7. Submits item adds to the item table and assures that the items are also added to the appropriate EPIC locations for documentation and charging purposes.
  8. Keeps the Manager informed of current activities, any major discrepancies with vendors or users of supplies and services.
  9. Works as a liaison between Surgical Services, Materials Management and vendors.
  10. Participates in the regular review of inventory for obsolete supplies and equipment.
  11. Strives to achieve excellence of service as described in the CARE Manual.
  12. Coordinates tissue inventory in compliance with regulatory agencies. Maintains tissue log.  Completes audits of tissue program in conjunction with the lab personnel.
  13. Proactively reviews surgical schedule and works with staff to assure correct equipment, instrumentation or special supplies for all of perioperative services.
  14. Responsible for honest behavior in all matters.  To the best of the employee’s knowledge and understanding, complies with all Federal and State laws and regulations.
  15. Maintains the privacy and security of all confidential and protected health information.  Uses and discloses only that information which is necessary to perform the function of the job.
  16. Performs related duties as assigned.

Qualifications

MINIMUM EDUCATION, EXPERIENCE AND LICENSE/CERTIFICATIONS REQUIRED:

  • High school diploma or equivalent, required.
  • Bachelor's degree, preferred.  
  • Minimum of two years of administrative or other related experience, required.
  • Experience in the health care industry, preferred.
  • Experience with excel and other relevant computer systems and/or purchasing, preferred.
  • The employee in this position must be able to demonstrate the knowledge and skills necessary to provide care based on the age of the patients served.
  • He/she must demonstrate knowledge of the principles of growth and development over the life span and possess the ability to assess data reflective of the patient’s status, to interpret the appropriate information needed to identify each patient’s requirements relative to his/her age-specific needs, and to provide the necessary care as described in the department’s policies and procedures
